Job description

Established in 1964, the African Development Bank Group (AfDB) is the premier pan-African development institution promoting economic growth and social progress across the continent. With 80 member states, including 54 in Africa (Regional Member Countries), the Bank's development agenda is to deliver financial and technical support for transformative projects that significantly reduce poverty through inclusive and sustainable economic growth in Africa. To focus the objectives of the Ten-Year Strategy and ensure greater developmental impact, five major areas (High 5s) have been identified for scaling up: energy, agribusiness, industrialization, regional integration, and improving the quality of life for the people of Africa.

THE HIRING COMPLEX

The Agriculture Human and Social Development Complex (AHVP) leads in implementing two of the five priority areas (High 5s): Feed Africa and Improve the Quality of Life for Africans. The Complex comprises five departments: (i) Agriculture and Agro-Industry Development; (ii) Agriculture Finance and Rural Development; (iii) Gender, Women, and Civil Society; (iv) Water Development and Sanitation; and (v) Human Capital, Youth, and Skills Development. Its objectives are: (i) to develop policy and strategy; (ii) to provide deep sector expertise to the regions; and (iii) to develop new financing instruments.

THE HIRING DEPARTMENT / DIVISION :

The Water Development and Sanitation Department (AHWS) is part of the Agriculture Human and Social Development Complex. It coordinates the Bank's water development and sanitation activities to enhance synergies and contribute to achieving all High 5s: Power and Light Africa, Feed Africa, Industrialize Africa, Integrate Africa, and Improve the Quality of Life. The AHWS leads the scaling-up of the Bank's contribution to Africa's efforts to attain water security and sanitation for socioeconomic transformation. It is responsible for origination of Non-Sovereign Operations (NSOs) and supports complex projects across regions through its divisions: AHWS.1 (water coordination and partnerships), AHWS.2 (water security and sanitation in East and Southern Africa and Nigeria), AHWS.3 (Water Security and Sanitation in West, Central, and Northern Africa), and the African Water Facility (AWF). These divisions support regional hubs in developing knowledge, approaches, and tools for green and inclusive water security and sanitation.

The AHWS2 Division supports member countries in attaining water security by providing technical expertise, generating and disseminating sector knowledge, and fostering strategic partnerships. Its thematic areas include: (i) integrated & transboundary water resources development and management; (ii) water supply and sanitation for all; (iii) water sector governance; as well as cross-cutting areas like gender, climate change, private sector engagement, and fragility.

THE POSITION

The Unit / Team Assistant STS functions within General Services to support the smooth running of the unit/team, ensuring the Head of Unit / Team Leader is freed from duties that could impede higher-level responsibilities. The role facilitates the effective performance of the team, contributing to the Bank's strategy for achieving the High 5s.

KEY FUNCTIONS :

Under the guidance of the Division Manager, the Team Assistant will:

  • Provide secretarial services, including preparing documents, reports, and letters;
  • Process correspondence and tasks following Bank formats, checking for errors, presentation, completeness, and procedural accuracy;
  • Manage and archive incoming and outgoing mails and documents;
  • Schedule meetings based on weekly schedules and agendas;
  • Support and follow up on correspondence and administrative processes;
  • Organize travel arrangements for the Division Manager (tickets, hotel bookings, etc.);
  • Monitor deadlines for routine and assigned tasks;
  • Prioritize important correspondence and tasks;
  • Perform any other duties assigned by the supervisor.

COMPETENCIES (Qualifications, Experience, Skills)

  • Bachelor's degree in Business Management, Commerce, Business Administration, Communications, or related field;
  • At least 4 years of relevant experience in administrative and secretarial roles;
  • Ability to multitask and work with a multidisciplinary team;
  • Effective communication skills in English (both oral and written), with good knowledge of a second language;
  • Proficiency in Microsoft Office applications (Word, Excel, Access, PowerPoint);
  • Knowledge of SAP is an asset.
