With a focus on operational excellence, cross-departmental collaboration and project delivery, we are seeking a high-caliber local Malaysian to join our team as Warehouse & Project Logistics Supervisor, overseeing outsourced warehouse management and coordinating project logistics to drive operational efficiency and service quality.
Responsibilities
- Manage and supervise multiple outsourced warehouses (cooperating partners), establish and maintain effective communication with warehouse vendors, ensure alignment with company’s operational standards, cargo storage requirements and safety protocols.
- Oversee end-to-end inventory management, including stock receiving, storage allocation (based on cargo-specific requirements), stocktaking, cycle counting, and inventory reconciliation; ensure accurate and up-to-date inventory records, prevent stock discrepancies, damage or loss.
- Coordinate warehouse operations scheduling, including cargo inbound/outbound dispatch, loading/unloading arrangements, and resource allocation (manpower, equipment) to ensure smooth and timely cargo flow.
- Liaise with internal teams, warehouse partners, transporters, and clients to coordinate cargo delivery plans, optimize dispatch routes, resolve delivery delays or logistical bottlenecks, and ensure on-time delivery of goods.
- Regularly conduct on-site inspections at outsourced warehouses to monitor operational compliance, service quality, and safety performance; provide feedback and improvement suggestions to warehouse partners, and follow up on corrective actions.
- Lead project logistics coordination, visit project sites and ports to align with project teams, shipping lines, port operators, and relevant authorities; oversee cargo handling, clearance, and transportation for project-related shipments.
- Proactively identify and resolve complex logistical issues (e.g., cargo damage, delivery disruptions, warehouse capacity constraints) during project execution and daily warehouse operations.
- Develop and optimize warehouse management and project logistics SOPs; train internal staff and guide warehouse partners on procedures to maintain operational consistency and risk control.
- Monitor key performance indicators (KPIs) for warehouse operations and project logistics, including inventory accuracy, on-time delivery rate, and warehouse service quality; prepare operational reports for management review.
- Handle any other ad-hoc tasks assigned by superior or management related to warehouse management and project logistics.
Qualifications
- Malaysian citizen or permanent resident only; familiar with local logistics market, warehouse operations, port procedures, and relevant regulations in Malaysia.
- Possess at least a Diploma or higher qualification in Logistics, Supply Chain Management, Warehouse Management, or related fields; minimum 4-5 years of working experience in warehouse management and project logistics, with at least 2 years of supervisory or team coordination experience.
- Proven experience in managing outsourced warehouses, coordinating multiple vendor partners, and handling inventory management for diverse cargo types (with different storage requirements).
- Familiar with warehouse operations processes (receiving, storage, picking, packing, shipping) and inventory management systems; proficient in Microsoft Office applications (Excel, Word, PowerPoint) and warehouse management software (WMS) is a plus.
- Strong on-site coordination capabilities, with frequent travel to project sites and ports; hands-on experience in coordinating project logistics and port operations is a strong advantage.
- Excellent communication, negotiation and problem-solving skills; able to effectively liaise with warehouse partners, project teams, transporters, port authorities, and clients to resolve conflicts and ensure smooth operations.
- Detail-oriented, well-organized, and able to manage multiple tasks simultaneously while meeting tight project deadlines; strong ability to work under pressure.
- Proficient in written and spoken English, Malay and Mandarin; Mandarin fluency is preferred to liaison with Mandarin-speaking clients and partners.
- In-depth knowledge of local logistics regulations, cargo storage safety standards, and project logistics best practices; committed to compliance and service excellence.
