Trilingual Operations & Admin Executive (Chinese, English & Malay)

Act as the primary point of contact for clients, identifying their needs and providing professional information regarding our translation and legalisation services.

Accompany the Director to client meetings and onsite visits to ensure seamless communication and relationship building.

Organise and manage client enquiries, feedback, and correspondence via phone, email, or face-to-face interactions with a professional demeanour.

Professional Translation & Proofreading:

Ensure a high level of precision and meticulous attention to detail in translating legal, corporate, and official documents across Chinese, English, and Malay.

Guarantee factual correctness of names, dates, and official terms to meet rigorous government and embassy standards.

Manage the end-to-end authentication and legalisation process with the Ministry of Foreign Affairs (Wisma Putra), embassies, and other local authorities.

Maintain and organise accurate physical and digital filing systems for all client records.

Daily Business Operations:

Analyse and schedule appointments, meetings, and travel arrangements for the Director and visiting clients.

Handle ad-hoc administrative tasks to ensure the efficient uninterrupted operation of our Bukit Jalil office.

Key Responsibilities:

  • Client Engagement & Representation:

    Requirements:

    • Academic Foundations: Minimum SPM/STPM with a Credit (Grade C and above) in both Bahasa Melayu and English.
    • Language Mastery: Highly proficient in written and spoken Chinese, English, and Bahasa Melayu. Ability to write in Traditional Chinese is a significant advantage.
    • Interpersonal Skills: Excellent communication skills and a professional appearance to represent the company during client visits.Mobility: Must possess own transport and a valid driving licence to visit clients and government agencies.
    • Technical Skills: Proficient in Microsoft Office (Word formatting is critical) and Google Workspace.
    • Education: Diploma or Bachelor’s Degree in Business Administration, Linguistics, or related fields.
