Overview

As the Site Supervisor at Tech-Store Malaysia Sdn Bhd, you will play a crucial role in overseeing the large-scale document and microfilm digitization project. This full-time position, based in Puchong or Putrajaya, Selangor, will require you to lead a team of digitization technicians and ensure the successful completion of this strategic initiative.

Job Description:

Responsibilities
  • Supervise daily operations of scanning operators, quality control operators, and physical document transport manpower.
  • Ensure achievement of daily and weekly scanning quotas and productivity targets.
  • Monitor adherence to approved scanning workflows, quality standards, and operational procedures defined by the SME.
  • Ensure safe handling, movement, and storage of physical documents and microfilms, preventing any damage, loss, or misplacement.
  • Oversee boxing, barcode labeling, tracking, and chain-of-custody procedures for archival materials.
  • Coordinate physical transport of documents between archive storage and scanning areas, ensuring accuracy and completeness.
  • Conduct daily production tracking, reporting throughput, issues, and variances to project management and the SME.
  • Identify and escalate technical, quality, or operational issues promptly.
  • Enforce workplace safety, document preservation rules, and site security requirements.
  • Manage daily attendance and workforce allocation to ensure sufficient manpower on site.
  • Monitor staff discipline, punctuality, and compliance with site rules.
  • Provide on-the-job guidance and corrective instructions to operators.
  • Support onboarding of new staff and ensure completion of required training.
  • Ensure all scanned outputs meet image quality and completeness requirements before release.
  • Verify that quality control checks and metadata verification are performed as required.
  • Immediately report and document any incidents of potential document damage or quality non-conformance.
  • Work closely with the SME on daily and weekly work planning and process optimization.
  • Implement operational plans, schedules, and instructions provided by the SME and project management.
  • Coordinate with warehouse, archive, and logistics teams to ensure uninterrupted material flow.
  • Maintain accurate production, attendance, and incident records.
  • Prepare daily operational reports including volumes scanned, manpower status, and issues encountered.
  • Support audits, inspections, and reporting requirements.
Requirements
  • Minimum of 2 years’ experience as a supervisor in document scanning, digitization, records management, or similar operational environments.
  • Practical experience supervising operational teams of 10–20 staff.
  • Familiarity with high-volume scanning operations, quality control, and physical document handling is required.
  • Strong people-management and communication skills.
  • Ability to enforce procedures and productivity targets consistently.
  • High attention to detail with strong quality and safety awareness.
  • Basic computer skills for production reporting and tracking.
  • Willingness and ability to learn new scanning technologies and procedures.
  • Willing to work in Puchong or Putrajaya
  • Willing to travel within Klang Valley area
