Job Summary

The Shipping Officer is responsible for verifying and maintaining records of shipments. Supervise the preparation of the loads for shipment as well as the preparation of the shipping documentation. Perform workload-based resource allocation to maximize productivity in daily activities. Maintains constant communication with the Export area for the preparation of customs documents on time, and the logistics area coordinating the transportation requirements.

The Shipping Officer must analyze trends, identify opportunities, motivate and develop his staff to achieve shipments on time, with the part numbers and quantities required.

Duties & Responsibilities
  • Perform the allocation of resources according to the shipping plan, focused on a structure based on workloads to obtain maximum productivity and efficiency.
  • Coordinate the preparation of documents, such as shipment report, carrier documents and any other document that applies according to the regulations of the destination country.
  • Establish an effective communication system with the distribution analysts, ensuring that the shipment requirement is met for each of the destinations.
  • Maintain continuous coordination and communication with the Exports team.
  • Monitor the audit process and adherence to shipping processes
  • Maintain proper administration of shipping records.
  • Coordinate transportation requirements with the logistics team.
  • Monitor that the destination DCs receive the documentation of the shipments according to the requirements of each of the DCs.
  • Establish and maintain the indicator monitoring system (KPI) and establish the actions that maintain the operation at high levels of efficiency.
  • Collaborate with the area responsible for improvement projects maintaining a focus on Safety, Quality and Efficiency
Minimum & Preferred Qualifications and Experience
Minimum Qualifications
  • 2 or more years of related experience in warehouse, distribution and logistics transportation.
  • Experience in supervising personnel in warehouse and shipping areas.
  • Ability to properly structure daily workloads, and get work done accurately and completely
  • Flexible, creative and capable of implementing innovative ideas.
  • Focused on achieving shipment objectives and requirements
  • Ability to effectively execute more than one task simultaneously
  • Analytical capacity in the creation and analysis of trends with a focus on safety, quality and efficiency.
  • Develop reports and analysis from data sets using analytical and statistical tools.
  • Organized individual with the ability to process details efficiently and accurately and exhibits excellent follow-through.
  • Highly adaptable, flexible and willing to accept new ideas, processes and procedures.
  • Excellent communication skills (oral, written, presentation) with the ability to communicate with the different functional areas.
Preferred Qualifications
  • Strong analytical and good decision-making skills;
  • Demonstrate intermediate to advanced skills when utilizing Microsoft Office Professional products

Physical requirements/Work Environment

This position primarily works in an office environment. It requires frequent sitting, standing and walking. Daily use of a computer and other computing and digital devices is required. May stand for extended periods when facilitating meetings or walking in the facilities. Some local travel may be necessary, so the ability to operate a motor vehicle and maintain a valid Driver’s license is required.
