The Senior HR Executive (Payroll & Administration) is responsible for managing end-to-end payroll operations and HR administrative functions to ensure accuracy, compliance, and timely delivery. This role plays a critical part in supporting hospital operations by ensuring adherence to the Malaysian Employment Act, statutory requirements, and HR best practices, while providing reliable HR support to employees and management.
Manage end-to-end payroll processing for hospital employees.
Ensure payroll is processed accurately and on time, including allowances, overtime, deductions, and adjustments.
Prepare and submit statutory contributions and declarations (EPF, SOCSO, EIS, PCB/LHDN).
Handle payroll-related queries and resolve discrepancies professionally and confidentially.
Prepare monthly payroll reports, reconciliation, and audit-related documentation.
Maintain accurate and up-to-date employee records, personal files, and HR documentation.
Administer employee leave, attendance, and benefits in accordance with hospital policies.
Support onboarding and offboarding processes, including employment letters and system updates.
Ensure HR processes comply with the Malaysian Employment Act, labor regulations, and internal policies.
Coordinate medical check-ups, confirmations, contract renewals, and resignations where required.
Maintain positive employee relations and support initiatives that promote a fair and compliant workplace.
Ensure HR practices align with best practices and hospital standards.
Liaise with internal departments, management, and external agencies when required.
Assist in HR audits, inspections, and management reporting.
Support continuous improvement of HR processes and systems.
Diploma or Degree in Human Resource Management, Business Administration, or a related field.
Minimum 3 years of HR working experience, with solid hands-on exposure to payroll.
Experience in private healthcare or hospital environment is highly preferred.
Strong understanding of the Malaysian Employment Act, payroll regulations, and HR best practices.
Proficient in HR payroll systems. Candidates with KaizenHR would have an advantage.
Well-versed in Microsoft Office, especially Excel and Word.
Strong attention to detail, accuracy, and confidentiality in handling payroll data.
Proficient in English and Bahasa Malaysia.
Mandarin-speaking candidates are preferred to support internal stakeholders.
High level of integrity and professionalism.
Strong organizational and time-management skills.
Able to work independently and handle tight payroll deadlines.
Good interpersonal and communication skills.
High level of confidentiality, accuracy, and professionalism.
