Overview

About the Role: We are seeking an experienced Senior Building Executive to manage the facilities of an office building. This role involves ensuring smooth building operations, coordinating maintenance activities, and delivering excellent customer service to tenants.

Responsibilities
  • Oversee day-to-day facilities management of the office building.
  • Coordinate preventive and corrective maintenance works with in-house maintenance team, service providers and contractors.
  • Handle tenant inquiries, complaints, and service requests promptly and professionally.
  • Ensure compliance with safety, health and environmental standards.
  • Assist in supervising and reviewing documentations, correspondence, notices and operational reports, while managing and improving centralized paper and electronic filling systems.
  • Take lead in drafting, reviewing and enhancing Standard Operating Procedures (SOPs) to ensure consistent and efficient building operations.
  • Oversee building-related purchase requisitions, ensuring proper budgetary alignment approvals.
  • Monitor, update and renew all regulatory licenses, permits and certificates.
  • Monitor tenants\' utility and rental charges, validate billing documents and assist Finance with reconciliations and follow up on outstanding payments.
  • Supervisor and evaluate the performance, schedule and compliance of outsourced service providers, including handling contract renewals and vendors negotiations.
  • Perform other tasks assigned by the Head of Department from time-to-time.
Requirements
  • Degree in Property Management, Facilities Management, Building Services or related field.
  • Minimum 3–5 years of experience in facilities or building management.
  • Strong communication and interpersonal skills for tenant relations.
  • Good knowledge of building systems and maintenance coordination.
  • Ability to multitask and work under pressure.
  • Proficiency in Microsoft Office applications.
