Job summary

A leading agriculture firm in Malaysia is seeking a Project Administrator to manage and document project tasks. Responsibilities include coordinating project progress, supervising compliance with standards, and handling communications with internal and external stakeholders. The ideal candidate will have a Bachelor’s Degree in Civil Engineering or related field and at least 5 years of experience in project administration. Proficiency in software like Word, Excel, and CAD is essential for success in this role.

Qualifications

  • Minimum 5 years’ working experience in Project Administration/Project Management in agriculture or manufacturing industry.
  • Able to review and interpret architectural, civil, mechanical and electrical drawings.
  • Familiar with local authority regulations such as PBT, BOMBA, JTK.

Responsibilities
  • Handle project management administrative tasks and documents such as contract or award letter, payment, record keeping, budgets, KM, BP and CCC submission.
  • Assist in supervising the progress of the project, ensuring design specifications, safety practice, work schedule and other related requirements are met.
  • Highlight any issue to superior to maintain project progress as accordance to timeline.
  • Assist in organizing various aspects of the assigned project, from inspection to construction, until completion and handover.
  • Assist in managing communication matters for all internal and external stakeholders.
  • Coordinate between consultants, contractors, project team, finance, and other stakeholders on any arising matters related to new projects.
  • Maintain accurate project documentation, contracts, variation orders, and progress reports.
Experience & Qualifications
  • Bachelor’s Degree in Civil Engineering/Town Planning or a related field or equivalent education.
  • Minimum 5 years’ working experience in Project Administration/Project Management in agriculture or manufacturing industry.
Technical Skills & Professional Knowledge
  • Able to review and interpret architectural, civil, mechanical and electrical drawings.
  • Experience coordinating with consultants, contractors, and cross-functional teams.
  • Skilled in project planning, cost estimation and site supervision.
  • Proficient in documentation, reporting, and handling project submission and approvals.
  • Familiar with local authority regulations (e.g., PBT, BOMBA, JTK, etc).
  • Display a high degree of accuracy, attention to detail and the discipline to follow up outstanding matters.
  • Detail-oriented, good interpersonal skills, team player and possesses self-initiative.
  • Excellent verbal and written communication skills with the ability to communicate effectively with employees and stakeholders proficient in English, Bahasa & Chinese speaking.
  • Experienced in executing and improving procedures.
  • Able to engage in a professional and collaborative manner with internal and external stakeholders.
  • Well versed in Word, Excel, PowerPoint and CAD software. Experience in SAP environment, Microsoft Outlook, Teams and OneDrive are an added advantage.
  • Strong organizational and time management skills to meet deadlines and manage multiple priorities.
