A leading manufacturing company in Malaysia is looking for a Senior Executive specializing in Industrial Relations & Talent Acquisition. The candidate will manage IR functions, develop policies, handle employee grievances, and oversee the recruitment process. Responsibilities include training managers on labor laws and conducting onboarding for new hires. Ideal candidates should have 2-3 years of experience in a multi-national setting and be knowledgeable in labor laws and human resources management.
Responsible for the Industrial Relations functions by developing, formulating and implementing the company’s IR policies and procedures to ensure compliances.
Establish and maintain good rapport with relevant stakeholders, including labor unions, works councils, government bodies and provide professional advice and support to departments’ head and management on industrial relations matters.
Manage the employees’ escalations process on grievances and harassment cases, facilitate and participate in negotiations, mediation, and dispute resolution processes between management, employees and labor unions.
Responsible to investigate, audit, analyze and verify on various types of reports and complaints including workplace grievances, harassment (including sexual harassment), bribes and frauds cases, and employees’ disciplinary matters to ensure fair and impartial handling of cases.
Responsible for arrange and conduct Domestic Inquiry, monitor and coordinate with department’s supervisor in handling of performance improvement plan program, when necessary.
Maintain disciplinary database, ensuring accuracy and confidentiality of the documentations, records and reports related to IR & ER activities.
Conduct orientation for new hires on IR and ER related and to deliver training programs for departments’ managers and supervisors to enhance their understanding of labor laws, employment practices and cultivate a conducive working environment.
Stay updated on changes of labor legislation and industry trends, to provide proactive advice and recommendations to ensure compliance with relevant employment and/or labor-related obligations to mitigate potential risks.
Comply with the company’s EHSMS, policies, EHS objective & planning, procedures, significant environmental aspects/hazards, EHS roles, responsibilities, accountabilities and authorities, obligations, legal and other requirements, and any relevant EHS issues.
Work closely with Hiring Managers to determine staffing needs and requirements and execute hiring activities to achieve the desired targets.
Execute hiring plan through working with Hiring Managers to plan, manage and conduct timely & effective recruitment activities.
Conduct interview for shortlisted candidates as needed, evaluate and finalize the candidates with Hiring Manager to recommend for hire.
Arrange and coordinate pre‑employment medical check‑up.
Prepare hiring proposal for shortlisted candidates.
Prepare offer letters, make offer to candidates and schedule date of reporting.
Organize, coordinate and participate in job fair, walk in interview and other career event and host in house recruitment events.
Serving as liaison with Recruitment Agencies, colleges, universities, Professional Institutes, Ministry Workforce Development Unit and Jabatan Tenaga Kerja.
Conduct onboarding program for new hire on reporting duty day.
Advertise job openings on social media, job boards and internally Manage employee movement process including transfer, conversion, exit procedures etc)
Minimum 2 to 3 years related working experience, preferably in a multi-national manufacturing environment.
Worked in a multi-cultural organization or dealt professionally across few nationalities and languages.
Able to manageindustrial relations and general HR administration.
Well versed in Labor Ordinance, Industrial Relations Laws and Domestic Inquiry Procedures.
Experience in framing charges for disciplinary cases.
Provide advice and counseling in all disciplinary issues and ensures that actions taken by the company are in conformity with the labor laws, the employees’ contract of employment and the company’s rules and regulations.
Good knowledge of Labor Laws, Industrial Relations Act, Ordinance Sabah and Sarawak, Employment Act and prevailing HR practices and legislation.
Handling Employee and Industrial Relations related matters.
Handling staff disciplinary / misconduct issues.
Knowledgeable in supporting event management and corporate communication.
Understand and had successfully managed recruitment channels to deliver recruitment targets. Knows the market place, competitors and practices.
Knowledgeable in advertising at recruiting websites for an existing or up to date’s vacancies.
Resourceful on searching talent.
Understand about Human Resources sourcing, recruitmentor equivalent.
