Position Summary
The Executive Assistant (EA) provides high-level administrative and strategic support to multiple C-Level executives and directors. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced environment. The EA acts as a trusted partner, managing executive priorities, streamlining communication, and ensuring the smooth execution of business operations.
Key Responsibilities
- Provide full executive support to multiple C-Level and directors, including calendar management, travel coordination, meeting preparation, and expense reporting.
- Act as the primary point of contact between executives, internal teams, clients, and external stakeholders.
- Prepare, review, and edit correspondence, presentations, contracts, reports, and other confidential documents.
- Coordinate and support board meetings, executive committee sessions, and leadership offsites (agendas, minutes, materials, follow-up actions).
- Manage sensitive and confidential information with integrity and professionalism.
- Conduct research, compile data, and prepare briefing materials to support executive decision-making.
- Track deadlines, action items, and deliverables to ensure priorities are met.
- Support special projects, strategic initiatives, and cross-departmental collaborations on behalf of executives.
- Foster strong relationships across all levels of the organization and with external partners.
- Represent executives professionally in their absence.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Law, Communications, or related field.
- 7+ years of executive assistant or senior administrative experience, with proven support to C‑Suite executives or board members.
- Excellent English written and verbal communication skill.
- Strong attention to detail.
- High level of discretion, confidentiality, and emotional intelligence.
- Proficiency in MS Office Suite, Google Workspace, and productivity/collaboration tools (e.g., Zoom, Teams, Concur, Trello, or similar).
- Strong organizational and multitasking abilities with the capacity to manage competing priorities.
- Ability to work independently, anticipate needs, and exercise sound judgment.
