Job summary

A public secretarial services group located in Shah Alam seeks an experienced company secretary to manage corporate compliance and handle communications with board members and shareholders. The ideal candidate will have over 8 years of experience in a similar role, strong interpersonal skills, and fluency in both English and Bahasa Malaysia. This position requires a proactive individual who can work independently and demonstrates high integrity and confidentiality.

Qualifications

  • Minimum 8 years’ experience in corporate secretarial matters for a public-listed company.
  • Good command of English and Bahasa Malaysia, both written and spoken.
  • Ability to work independently under minimum supervision.

Responsibilities

  • Undertake all secretarial functions and compliance work for the Group.
  • Manage Board and Shareholders matters including meetings preparation.
  • Prepare and coordinate necessary announcements and reports.

Job description

We are part of a public listed group located in Shah Alam, mainly providing secretarial services to the Group and its subsidiaries. We seek qualified and dedicated candidates to join our team. If this sounds like you, please get in touch with us!

Responsibilities
  1. Undertake all secretarial functions and secretarial compliance work for the Group which include preparation of resolutions, maintenance of statutory records and lodgment of requisite statutory returns to the relevant authorities.
  2. Manage Board and Shareholders matters such as to coordinate/oversee the organisation of their meetings including preparing and circulating board papers, reports, minutes and announcements.
  3. Prepare and coordinate all matters relating to announcements, circular to shareholders, annual/ semi annual/quarterly report/annual report and any other requisite documents and ensure timely submission/distribution.
  4. Liaise with share registrar, advisors, legal counsels, auditors and any parties as and when required.
  5. Attend board meetings of subsidiary companies and prepare the agendas and minutes of meetings.
  6. Act as company secretary of the subsidiary companies, if required. Assist in any other matters as may be required by the Management.
Expected Requirements
  1. An Associate member of MAICSA or licensed by the Companies Commission of Malaysia.
  2. Minimum 8 years’ related working experience in handling corporate secretarial matters for a public-listed company.
  3. Good interpersonal skills, with good command of English and Bahasa Malaysia, both written and spoken.
  4. Able to work in a team and independently under minimum supervision.
  5. Pro‑active, meticulous, confident and possess the drive for self development.
  6. Ability to demonstrate high standards of integrity and ethical practice in maintaining confidentiality and exercising discretion.
