Harmony New Energy Auto Service is part of China's prestigious Hexie Auto Group, serving as the official partner for BYD and DENZA electric vehicles in Malaysia. We are seeking a detail-oriented and proactive Sales Administration professional to execute the end-to-end sales administration process. This role will be responsible for ensuring smooth order processing, managing vehicle registration and insurance, handling road tax compliance, and leading the administrative team. The ideal candidate will ensure regulatory compliance, provide excellent customer service, and optimize operational efficiency.

What You’ll Do
  • Oversee and manage the entire sales administration process, ensuring accurate and timely order processing.
  • Coordinate with the sales team to ensure efficient order fulfilment.
  • Maintain organized records of sales transactions, customer interactions, and inventory.
  • Handle the complete vehicle registration process, including preparing and submitting documentation.
  • Liaise with relevant authorities to ensure timely registration and compliance with regulations.
  • Stay updated on changes in vehicle registration procedures and legal requirements.
  • Administer and manage vehicle insurance policies, ensuring all vehicles have valid coverage.
  • Monitor policy renewals, process insurance claims and coordinate with insurance providers for prompt resolution.
  • Coordinate with relevant authorities to ensure compliance with road tax regulations.
  • Assign tasks, monitor performance, and ensure deadlines are met efficiently.
  • Handle customer inquiries and complaints related to sales administration, vehicle registration, insurance, and road tax.
  • Deliver exceptional customer service to ensure customer satisfaction and retention.
What You Bring
  • Bachelor’s degree in Business Administration, Automotive Management, or a related field.
  • Minimum of 2 years of experience in sales administration within the automotive industry.
  • Proficient in MS Office Suite (Word & Excel) and comfortable mastering new dealership-specific software.
  • Excellent communication skills in English, Bahasa Malaysia, and Mandarin (to liaise with Mandarin-speaking clients).
  • A detail-oriented team player with excellent data entry/record-keeping skills and the ability to multitask and remain professional in a fast-paced environment.
  • Strong leadership, excellent organizational and multitasking abilities.
