Job summary

A manufacturing company located in Port Klang seeks a Sales Administrator to assist in managing the sales administrative process. Responsibilities include converting inquiries into quotations, order management, liaising with production for lead times, and resolving customer complaints. The ideal candidate will hold a Diploma or Degree in a relevant field and have 1-2 years of sales administration experience, alongside proficiency in both Chinese and English. Qualifications

You will assist the Sales Manager in managing the end-to-end sales administrative process. Your role is the bridge between market pricing (LME), factory production, and final logistics, ensuring that customer orders are handled with precision from quotation to delivery.

Responsibilities
  • Quotation & Pricing: Assist the Sales Manager by converting incoming sales inquiries into formal quotations; monitor and report LME prices to clients to provide accurate, market-aligned pricing references while maintaining updated price lists based on material fluctuations.
  • Order Management: Upon receipt of Purchase Orders (PO), generate Sales Orders (SO), Delivery Orders (DO), and Invoices using the SQL system while ensuring all technical specifications are correctly recorded.
  • Production Liaison: Communicate daily with the production team to provide customers with accurate lead times based on current factory capacity and provide real-time production updates.
  • Inventory Control: Perform diligent data entry for all orders and perform regular stock inventory checks to ensure material availability and monitor "ready-to-ship" stock.
  • Issue Resolution: Act as the primary contact for inquiries and report customer complaints or shipment discrepancies (e.g., surface defects, scratches) to the Sales Manager and QC team for resolution.
  • Digital Coordination: Manage all data entry and documentation with high accuracy; responsible for uploading pictures and delivery documents to WeChat and WhatsApp groups for every delivery batch.
  • Logistics Coordination: Arrange and schedule transportation for batch deliveries of finished aluminium goods to ensure on-time arrival at client sites.
Required Qualifications & Skills
  • Education: Diploma or Degree and above in Business Administration, Marketing, or a related field.
  • Experience: Minimum 1-2 years of experience in sales administration, preferably within the related industries.
  • Language: Required proficiency in Chinese and English (Written, Reading, and Speaking) to liaise with clients, stakeholders, and the internal team.
  • Technical: Familiarity with SQL System and MS Office.
  • Added Advantage: Knowledge of social media marketing with the ability to shoot and edit video content for product or factory showcases.
