Job summary

What you will be doing (Key Responsibilities):
Purchase Order & Documentation
  • Prepare and issue POs based on approved requests.
  • Maintain and update purchase records and supplier files.
  • Ensure all purchasing documentation is accurate and complete.
  • Communicate with suppliers on quotations, orders, and delivery schedules.
  • Follow up on pending orders; update the team on delivery status.
  • Maintain good relationships with vendors.
Inventory & Stock Support
  • Assist in monitoring stock levels for standard items.
  • Coordinate with warehouse/inventory teams for timely replenishment.
  • Alert senior buyers/officers on low stock or delayed deliveries.
Cost & Quotation Support
  • Collect and compare supplier quotations.
  • Prepare basic reports on pricing, cost trends, and supplier performance.
  • Assist in supplier evaluation under guidance of senior staff.
Administrative & Reporting Tasks
  • File and archive purchase documents.
  • Generate regular reports (PO status, supplier performance, delivery updates).
  • Support the purchasing team in ad‑hoc tasks and projects.
Compliance & Procedures
  • Ensure procurement activities follow company policies and procedures.
  • Assist in preparing documents for audits or supplier evaluations.
What do we need from you (Job Requirements):
