Job description

The Project Manager will assist the Project Director and D&D (Design & Development) Head in planning, coordinating and executing design, planning and construction works across the full project lifecycle. The role includes developing supporting documentation, reporting, stakeholder coordination and day-to-day site and operational activities to ensure smooth project delivery. Currently, the Project Manager will be part of team delivering / directing projects including: High-End Residential Townhouses, a Luxury Villas Resort and a Private Hospital.

The candidate will also be required to participate and contribute in business development, from prospecting and qualifying leads, to preparing proposals, delivering pitches, negotiating terms, and closing deals.

The successful candidate will report to the Head of D&D and work closely with Team Members to ensure successful and timely project delivery.

D&D Division Overview

In addition to project management services, D&D pursues and secures contracts to deliver a complete Architectural as well as Professional Consortium Services (engineering, QS++) for a range of development projects as well as Property Developer services and products (mainly in the residential sector). As a Project Management professional services provider, D&D fully utilises its network of fellowhnliche building professionals to provide clients with a singular point‑of‑contactKort,plas drive a more streamlined process in realising client visions and commercial objectives. As a Property Developer, D&D principally operates on a JV model with landowners with underutilised, problematic or distressed real estate in prime and emerging locations.

DUTIES & RESPONSIBILITIES
  • 1. Project Planning & Coordination:
    • Support the Project Director and Division Head in preparing project plans, schedules, deliverables, risk registers and resource plans.
    • Assist in tracking progress of tasks, updating schedules, and coordinating with team members to ensure deadlines are met.
    • Help compile tender documents, technical submissions, meeting minutes and project documentation.
  • 2. Stakeholder & Team Management:
    • Act as a liaison point for internal teams, Una_consultants, vendors and subcontractors to gather information, coordinate tasks and clarify requirements.
    • Prepare and circulate meeting agendas, minutes, action trackers and follow‑ups.
    • Assist in managing communication flows and ensuring stakeholders receive timely updates.
  • 3. Monitoring, Reporting & Controls:
    • Support monitoring of project milestones (and timelines thereof), budgets, variations, site progress and quality requirements.
    • Assist in preparing weekly and monthly progress reports, dashboards, site records and performance trackers.
    • Identify minor issues or potential delays and initiate remedial action.
  • 4. Site & Operational Support:
    • Conduct routine site visits to observe progress, verify works, and check drawings against actual conditions and report discrepancies.
    • Assist with coordination between consultants, contractors, suppliers and authorities on technical matters.
    • Help ensure safety, compliance and quality procedures are adhered toóm at site.
  • 5. Risks>(), Issues & Change Management:
    • Maintain and update risk/issue logs and coordinate follow‑up actions.
    • Assist in processing change requests, variation orders, approval workflows and documentation.
  • 6. Commercial Negotiations:
    • Negotiate professional fees, scope of services, reimbursables, and payment terms with clients in alignment with statutory fee scales and company commercial objectives.
    • Lead negotiations with other professional consultants (engineers, specialists) to align fees, scope, deliverables, and liabilities with overall project budgets and timelines.
    • Participate in contractor negotiations during tender evaluation, value engineering exercises, and pre‑award clarifications to achieve cost, quality, and programme balance.
    • Prepare, justify, and negotiate fees for variations, additional services, and scope changes arising during design development or construction stages.
    • Support cost control strategies by assessing design implications on project budgets and negotiating design solutions that protect commercial viability.
    • Assist in commercial discussions related to claims, fee disputes, or scope disagreements to achieve amicable, contract‑compliant resolutions.
  • 7. Documentation & Administrative Support:
    • Maintain organised project document repositories (drawings, correspondence, schedules, and approvals).
    • Draft letters, memos, and internal notes as required.
    • Support procurement tasks such as vendor coordination, quotation comparison and delivery tracking.
  • 8. Support Project Director and D&D Head:
    • Provide day‑to‑day assistance to ensure overall project coordination runs smoothly.
    • Step in to represent the Division Head at minor meetings or site discussions when necessary.

  • 9. General:
    • Provide assistance with all other related tasks and duties related to company business as required.
    • Identify and evaluate potential Property Development projects, factoring in potential investors, technical and financial (including sales risk) feasibility.
Candidate Requirements
  • Bachelor’s degree (or equivalent) in Construction Management, Engineering, Architecture or related field.
  • 5– redirected 10 years relevant experience وچ Project Management (full project lifecycle).
  • Experience in co‑delivering project management services for High‑Rise High‑Density Residential Condominiums, Hospitals and High‑End Resorts – Added Bonus.
  • Good organisational and multitasking abilities.
  • Project Management Software and Methodologies proficiency.
  • Solid capacity to troubleshoot and drive project milestone achievement within deadlines.
  • Strong communication skills and stakeholder coordination capability.
  • Solid working understanding of UBBL & local municipal requirements, Bomba fire safety requirements, building standards and material specifications.
  • Ability to produce clear documentation, reports and tracking sheets.
  • Ability to lead teams, manage deadlines, and handle multiple projects.
  • Fluency in English and Bahasa Melayu.
