We are seeking a highly discreet, proactive, and organized Personal Assistant to provide comprehensive support to the Director in managing their personal and family affairs. This role requires utmost confidentiality, exceptional judgment, and the ability to manage a wide range of private matters with efficiency and professionalism. The successful candidate will act as a trusted liaison and gatekeeper, ensuring the Director’s personal life runs smoothly and seamlessly.


Personal & Household Management:


  • Manage personal calendars, including appointments, events, travel, and vacations.

  • Coordinate all aspects of private and family travel: flights, private charters, ground transportation, accommodations, visas, and itineraries.

  • Act as the primary liaison and coordinator for household operations, including the personal driver, security personnel, domestic staff, and external contractors (e.g., landscapers, cleaners, technicians).

  • Coordinate daily schedules with the personal driver, ensuring efficient routing and timely arrivals.

  • Serve as a point of contact and logistics coordinator for house security, managing access schedules, visitor lists, and communication for special events.

  • Manage relationships with house contractors for maintenance, renovations, and projects: obtain quotes, schedule work, oversee timelines, and ensure quality completion with minimal disruption.

  • Screen and manage personal communications with the highest level of confidentiality.

  • Handle sensitive matters with tact, diplomacy, and empathy.


Qualifications & Skills:


  • 5+ years of experience as a Personal Assistant, Family Office Assistant, Estate Manager, or similar role supporting C-level executives with personal matters.

  • Unimpeachable discretion and confidentiality – a non-negotiable requirement.

  • Exceptional organizational and time-management skills; ability to juggle multiple priorities with calm efficiency.

  • Proactive problem-solver with excellent judgment and the ability to anticipate needs.

  • Native or Bilingual Proficiency (Mandarin Chinese) Excellent verbal and written communication skills, with the ability to give clear instructions and provide diplomatic oversight.

  • Flexibility to be on call outside of standard business hours when required.
