The successful candidate will work closely with senior leadership and play a key role in ensuring both business and administrative matters are managed efficiently and seamlessly.

About the Role

We are seeking a highly organised, dependable, and discreet Personal Assistant to provide direct support to the Managing Partner of YH Tan & Associates PLT. This is a trusted, hands‑on role requiring a high level of professionalism, judgment, and confidentiality. The successful candidate will work closely with senior leadership and play a key role in ensuring both business and administrative matters are managed efficiently and seamlessly.

Key Responsibilities

Your responsibilities will include, but are not limited to:

  • Providing end‑to‑end personal and executive support to the Managing Partner
  • Managing complex calendars, scheduling meetings, and coordinating travel and appointments
  • Preparing meeting agendas, recording minutes, tracking action items, and ensuring timely follow‑ups
  • Handling confidential correspondence, including drafting emails, letters, and professional communications
  • Liaising with internal teams, clients, regulators, and external stakeholders in a professional and tactful manner
  • Providing general administrative support, including filing, data entry, document control, and record management
  • Assisting with special projects, ad‑hoc assignments, and occasional external coordination or errands as required
  • Anticipating needs, prioritising tasks, and proactively resolving administrative or logistical issues
Requirements

To be successful in this role, you should have:

  • A minimum of 3 years’ experience as a Personal Assistant or Executive Assistant, preferably in a professional services environment
  • Excellent written and verbal communication skills, with confidence in engaging stakeholders at all levels
  • Strong organisational and time‑management skills, with the ability to handle multiple priorities independently
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • A high level of discretion, integrity, and professionalism, with proven ability to handle sensitive and confidential matters
  • Sound judgment, reliability, and a strong sense of responsibility
  • A proactive, solutions‑oriented mindset with flexibility to support both structured and ad‑hoc requirements
