Job description

We are seeking a highly organised, proactive, and discreet Personal Assistant to support our Directors in both professional and personal matters. The ideal candidate will demonstrate exceptional communication skills, strong attention to detail, and the ability to handle sensitive information with integrity and confidentiality. This role requires someone who can anticipate needs, manage multiple priorities, and act as a trusted partner to the Directors.

Key Responsibilities
  • Provide comprehensive administrative and secretarial support to the Directors.
  • Manage and maintain daily, monthly, and quarterly schedules, appointments, and meetings.
  • Organise and coordinate international and domestic travel, including flight arrangements, visas, accommodation, and restaurant bookings.
  • Liaise with stakeholders and internal teams across multiple countries to ensure smooth communication and workflow.
  • Coordinate tasks and follow-ups on behalf of the Directors to ensure deadlines and priorities are met.
  • Handle urgent matters, quickly manage unforeseen situations, and ensure the director is informed and prepared.
Requirements
  • Strong communication skills in English and Cantonese to effectively communicate with Mandarin/Cantonese-speaking clients. Proficiency in other Asian languages such as Japanese are an advantage but not essential.
  • Minimum 2 years of experience as a Personal Assistant, Executive Assistant, Hotel Concierge, Travel Agent or Event planner.
  • Diploma / Degree in Business Administration, Management, Office Management, Secretarial Studies, or a related field preferred but not essential.
  • High level of adaptability, cultural sensitivity, and professionalism.
  • Strong organizational, problem solving, and time management skills.
  • Discreet, trustworthy, and able to handle confidential information.
  • Proficiency in Microsoft Office, email communication, and online research.
