A leading education group in Malaysia is seeking a Personal Assistant to provide high-level administrative support to the CEO. This role requires strong communication skills in Bahasa Malaysia, English, and Mandarin, along with 3 to 5 years of experience supporting senior management. Responsibilities include managing schedules, travel logistics, and preparing documents for meetings. The ideal candidate must be proactive, detail-oriented, and able to work independently in a fast-paced environment.
Provide high-level administrative and executive support to the CEO, managing daily schedules, meetings, and correspondence.
Coordinate and prioritize incoming requests, emails, calls, and other communications on behalf of the CEO.
Arrange and manage travel plans, accommodations, and itineraries, ensuring smooth and efficient travel logistics.
Prepare and review documents, presentations, reports, and briefing materials for meetings and strategic discussions.
Assist with ad-hoc projects, such as preparing presentations, reports, and data entry.
Act as a liaison between the CEO and internal teams, stakeholders, and external partners to ensure seamless communication.
Organize, schedule, and follow up on meetings, including board meetings, management discussions, and client appointments.
Conduct research and gather information for decision-making or reporting.
Handle sensitive, confidential information with high integrity and professionalism.
Anticipate the CEO’s needs and proactively manage tasks to optimize time and productivity.
Support special projects, events, and initiatives as directed by the CEO.
Candidate must possess a Bachelor Degree or equivalent in Business Administration, Management, or any related field.
Minimum of 3 to 5 years of experience as a Personal/Secretary Assistant, preferably supporting senior management.
Strong written and verbal communication skills in Bahasa Malaysia, English and Mandarin. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking stakeholders.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
High level of discretion and integrity in handling confidential information.
Proactive, detail-oriented, and able to work independently in a fast-paced environment.
