The Payroll Executive is responsible for the accurate and timely processing of payroll, statutory contributions, and payroll-related reporting. This role ensures compliance with Malaysian labour laws while serving as a key administrative link between Finance, HR, and other departments to maintain seamless organisational documentation.

Job Requirements
Key Responsibilities (Payroll)
  • Process payroll accurately and on time for all employees each month.
  • Calculate salaries, overtime, allowances, bonuses, deductions, and unpaid leave.
  • Ensure compliance with Malaysian statutory requirements, including EPF, SOCSO, EIS, PCB, and HRDF.
  • Prepare and submit monthly and yearly statutory reports and payments.
  • Maintain accurate payroll records and employee data confidentiality.
  • Handle payroll queries from employees professionally and promptly.
  • Coordinate with HR on new hires, resignations, salary changes, and confirmations.
  • Prepare payroll-related journals and reports for Finance.
  • Support annual audit requirements and payroll reconciliations.
  • Stay updated on changes to labour laws, tax regulations, and statutory contributions.
Key Responsibilities (Administrative)
  • Oversee the central repository of company-wide documentation, ensuring that records bridging Finance, HR, and Operations are systematically organised and easily retrievable.
  • Maintain quality control over corporate records, ensuring all documentation aligns with established organisational standards and ISO-certified workflows.
  • Coordinate inter-departmental data flow, acting as the primary point of contact for information sharing between departments to ensure data consistency.
  • Manage the lifecycle of Personnel Files (P-files) and corporate archives, ensuring secure storage and regular updates of all sensitive employee and company documents.
  • Support general corporate administration, including the drafting of official letters, internal announcements, and reports required for management review.
Requirement & Qualification
  • Diploma or Bachelor’s Degree in Accounting, Finance, Human Resources, or related field.
  • Minimum 1–3 years of payroll experience in Malaysia.
  • Strong knowledge of Malaysian payroll regulations and statutory contributions.
  • Experience using payroll systems and Microsoft Excel.
  • Close attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Strong organisational and time management skills.
