Job summary

A leading administrative support firm in Kuala Lumpur is seeking an experienced Executive Assistant to manage the CEO's calendar and schedule. Responsibilities include coordinating travel arrangements, liaising with partners, and handling confidential documents. A minimum of 10 years of experience in a similar role is required, along with fluency in Mandarin and Cantonese. Qualifications

  • Minimum 10 years of experience as a PA, Executive Assistant, or Administrative Executive.
  • Experience supporting senior management or C-suite is highly preferred.

Responsibilities

  • Manage and maintain the CEO’s calendar, schedule, and appointments.
  • Organize meetings and prepare agendas, minutes, and follow-up actions.
  • Handle confidential documents and correspondence with discretion.

Job description
Operational & Administrative Support
  • Coordinate travel arrangements (local & overseas), transportation, accommodation, and itineraries.
  • Manage business documentation, filing systems, and record-keeping.
  • Liaise with internal departments, external partners, and stakeholders professionally.
  • Assist in monitoring CEO’s projects, tasks, and deadlines, ensuring timely follow-up.
Personal Assistance
  • Support personal tasks such as scheduling family appointments, personal errands, and household administrative matters.
  • Handle ad-hoc personal responsibilities assigned by the CEO with confidentiality and care.
  • Assist in coordinating personal travel, events, and logistics when required.
Communication & Translation
  • Act as translator/interpreter for Mandarin & Cantonese-speaking stakeholders.
  • Handle communication with Chinese-speaking partners, patients, or vendors when needed.
Logistics & Travel Flexibility
  • Must be able to travel to branches, external meetings, or events as required.
  • Must possess own transport and maintain good punctuality and mobility.
Language Skills (Mandatory)
  • Fluent in Mandarin and Cantonese (spoken & reading).
  • Strong communication in English and Bahasa Malaysia.
Experience
