Manager / Assistant Manager - Property Management & Investment
In charge of the group’s investment lands, completed factories and shop lots, ensuring they are well-maintained, compliant, and generating optimal returns.
You will act as the key liaison between tenants, contractors, internal departments, and external authorities to deliver a seamless and professional property management experience
Key Responsibilities
- Tenancy Agreement management
- Preparation of new tenancy agreement and renewal letters
- Conduct move-in and move-out inspection and preparation of handover related documentation for signature by tenant and landlord
- Alert the management three months before expiry of tenancy
- Tenant & Stakeholder Relations
- In charge of written correspondences / documentation with tenant
- Act as the main point of contact for tenants, addressing inquiries, concerns, and maintenance requests promptly and professionally.
- Conduct monthly property inspections to ensure compliance with tenancy agreements, building rules, and safety standards.
- Liaise and coordinate with various stakeholders (tenants, contractors, internal departments) to facilitate defect rectifications.
- Maintenance & Contractor Management
- Proactively plan, schedule, and oversee all repairs, service, and preventative maintenance work.
- Source, evaluate, and manage relationships with contractors and vendors, including obtaining and comparing quotations to ensure cost-effectiveness and quality.
- Supervise and verify all work performed by contractors to ensure it meets agreed-upon standards, timelines, and budgets.
- Policies and Procedures
- Establish, implement and update written policies, practices, procedures, SOPs, templates, checklists, etc.
- Monitor to ensure compliance to approved policies and procedures
- Reporting
- Prepare and submit clear, concise, and timely reports to Management, including weekly defect progress updates and monthly portfolio performance summaries (covering inspections, maintenance status, and tenancy issues).
- Maintain accurate and up-to-date records for all properties, including tenancy agreements, inspection reports, contractor contracts, and compliance certificates.
- Provide timely reports to the Management including any safety, personnel, process or maintenance issues that have occurred.
- Manage the safekeeping of company information and documents.
- Retain historical records by designing a filing and retrieval system and keeping past and current records.
- Perform any other duties as and when assigned by your superior
Requirements
- Possess any Professional certificate, Diploma or Degree in relevant field
- Experience in Property Development & Liaison with Authorities will be advantaged
- Energetics / dynamics
- Strong interpersonal skill and negotiation skills
- Good in time management, organising and strong in analytical skill
- Able to meet tight deadlines and work independently.
- Good in Microsoft software - excel and power point.
