A leading property management company in Penang is seeking a Leasing Administrator to manage leasing documents and tenant relationships. The role involves preparing leasing proposals, coordinating with various stakeholders, and ensuring all documentation is accurate. Candidates should have a Degree/Diploma in Business or similar and 1-2 years of related experience, though fresh graduates are welcome to apply. Strong attention to detail and customer service skills are essential for this position.
Prepare, review and process all leasing documents including Letter of Offer (LO), Tenancy Agreement (TA) with appointed lawyers & Renewal documents and addendums
Ensure all legal documentation is complete, accurate and properly executed before signing.
Submit all lease cases into the company system for approval and tracking.
Maintain proper filing, documentation log, and lease records for audit and compliance purposes.
Monitor commencement dates, handover schedules, expiry and renewal periods.
Coordinate with tenants, agents, lawyers and internal departments on leasing-related matters.
Handle and verify monthly TNB and LPG/Gas meter readings for each tenant.
Submit readings promptly into the system to generate monthly billing for Group Admin to process.
Track payments, deposits, outstanding charges and ensure timely follow-up with tenants.
Work closely with Finance & Group Admin to ensure billing accuracy and smooth processing.
Support day-to-day operational matters related to tenants and shoplot readiness.
Prepare leasing proposals, presentations and rental recommendations for potential prospects.
Assist the team in tenant sourcing and coordinating with property agents.
Support lease negotiation preparation by gathering market comparables, pricing intelligence and tenancy mix analysis.
Conduct basic market research on surrounding commercial developments, rental trends and competition.
Help monitor leasing pipeline, prospects’ status, and reporting schedules.
Maintain good working relationships with tenants, agents and business partners.
Ensure responsive communication and follow-up with tenants and prospects.
Provide value-added support to achieve better tenancy conversion and higher rental yield.
Represent the brand professionally and support positive tenant experience
Able to communicate clearly and professionally with tenants, agents, lawyers and internal teams.
Comfortable assisting in negotiation discussions and presenting rental proposals.
Responsive, reliable and committed to resolving issues promptly.
Provides good customer service to internal and external clients.
Strong attention to detail and paperwork.
Able to handle multiple documents and submissions in an organised and systematic manner.
Strong in planning, tracking deadlines, and monitoring expiry dates, renewals and billings.
Good sense of prioritization and task management.
Able to analyze rental comparable, market data and tenancy performance.
Supports decision-making through accurate data interpretation.
Works well with cross-functional teams (Legal, Finance, Group Admin, Ops).
Shares updates and cooperates to ensure smooth end-to-end lease processes.
Proactive, alert and able to spot issues early.
Suggests improvements and takes ownership of tasks.
Candidate must possess Diploma / Degree in Business Studies, Real Estate Management, Property Management, Marketing or equivalent.
Preferably Executives specializing in Property/ Real Estate or equivalent
1–2 years working experience in leasing administration, commercial leasing, real estate, or property-related fields.
