Human Resource Executive / Senior Executive
A. Payroll Processing & Statutory Compliance
- Process monthly payroll accurately and timely for all employees.
- Handle statutory submissions including EPF, SOCSO, EIS and HRD within required deadlines.
- Ensure accuracy of payroll components such as allowances, OT, claims and deductions.
- Prepare and submit monthly payroll reports to Finance.
B. Talent Acquisition
- Advertise vacancies through appropriate platforms.
- Screen and shortlist candidates based on job requirements.
- Arrange interviews with candidates and hiring managers.
- Prepare offer letters and employment documents for successful candidates.
- Conduct periodic check-ins with new joiners during probation.
C. Onboarding & Offboarding
Onboarding
- Coordinate preparation of laptops, work tools and access setup before Day 1.
- Conduct new joiner orientation sessions and introduction to company culture.
- Guide and acclimatize new employees to company processes and policies.
- Perform structured check‑ins (Week 1, Month 1, Month 3).
Offboarding
- Prepare and issue Acceptance of Resignation letters.
- Conduct exit interviews and document insights.
- Maintain and complete Employee Exit Checklist to ensure a compliant offboarding process.
D. Employee Events & Engagement
- Organize employee engagement activities such as monthly birthday celebrations and festive events (Hari Raya, Chinese New Year, Deepavali, Christmas).
- Plan company trips, obtain vendor quotations and prepare event agenda when required.
- Manage event logistics, coordination and post‑event feedback.
E. Performance & Disciplinary Management
- Assist in managing employee performance issues and disciplinary matters in accordance with company policies.
- Coordinate and support Performance Improvement Plan (PIP) sessions.
- Draft necessary correspondences such as show cause letters, warning letters and performance reports.
- Ensure all processes are compliant with labour regulations.
F. HR Administration & HR Documentations
- Draft HR correspondences, announcements and memorandums when required.
- Update and maintain HR SOPs, Employee Handbook and HR documentation.
- Ensure proper filing, record‑keeping and accuracy of all HR documents.
- Provide general HR support and perform other duties assigned by management.
JOB SPECIFICATION:
- At least Diploma / Degree in Business Studies.
- Must be well‑versed in Employment Act 1955.
- Preferably someone who have 1‑2 years of experience working with payroll software systems (e.g.: BrioHR, QuickPay etc).
- Preferably someone who have 1‑2 years of experience in recruitment / talent acquisition.
- Preferably someone who have 1‑2 years of experience in organizing employee events / celebrations.
- Able to converse in Mandarin (due to Chinese speaking stakeholders) and English.
- High adaptability to new environment and communicate well with all levels of employees in the Company. Poses strong interpersonal & communication skills.
- Able to work independently.
