Job description

The Personnel & Administration Manager is responsible for overseeing the day-to-day administration of the company’s Human Resource functions, security, and cleanliness. The role ensures that all HR, administrative, and regulatory requirements are effectively implemented in line with company policies and government regulations.

KEY RESPONSIBILITIES
1. Human Resource Development & Administration
  • a) Review and determine staff training and development programs, including in-house and external training.
  • b) Ensure compliance with statutory requirements involving government bodies such as the Inland Revenue Department, EPF, SOCSO, Immigration, MBSA, and others.
  • c) Manage employee relations issues, including workers’ compensation and industrial relations matters.
  • d) Formulate and implement administration and personnel policies and procedures.
  • e) Administer matters related to visitor passes, employment passes, and visa applications for expatriates.
  • f) Handle matters related to employee attendance, medical benefits, insurance, confirmation, resignation, and termination.
  • g) Maintain, review, and update the staff appraisal system for salary revisions and promotions.
  • h) Review and check the company payroll.
  • i) Review monthly EPF, SOCSO contributions and ensure that Scheduled Tax Deductions (STD) are paid according to regulations.
  • j) Conduct interviews, select, and recommend staff for positions at Assistant Manager level and above.
  • k) Review the yearly budget and investment plan for the Personnel Department.
  • l) Oversee and promote Internal Control activities from MJA to MMA for implementation.
  • m) Ensure compliance with the Responsible Business Alliance (RBA) requirements.
JOB AUTHORITY
  • a) Authorized to approve all staff medical claims for treatment obtained from external clinics.
  • b) Authorized to acknowledge Exit Pass requests for appointments.
  • c) Authorized to verify staff On-the-Job Training (OJT) records.
  • d) Authorized to verify training records for new employees.
  • e) Authorized to approve overtime claims for Personnel Department staff.
  • f) Authorized to sign Purchase Requisitions for procurement of items.
  • g) Authorized to review the Personnel Department’s organization chart.
  • h) Authorized to evaluate the performance of Personnel Department staff.
