A leading HR firm in Petaling Jaya is seeking an HR Executive to manage end-to-end recruitment, payroll processes, and compliance with Malaysian labour laws. The ideal candidate requires a Diploma or Degree in Human Resource Management along with 3–6 years of HR experience. Proficiency in Microsoft Office and HRIS systems is essential, with strong communication skills in English and Bahasa Malaysia. Malaysian citizens are preferred. Manage end-to-end recruitment: job posting, screening, shortlisting, interviewing, and coordinating with hiring managers.
Prepare offer letters, employment contracts, and onboarding materials.
Conduct orientation programs and ensure smooth integration of new employees into the company.
Conduct exit interviews and support offboarding processes.
Maintain and update employee records in HRIS systems, including personnel files, leave records, attendance, and staff movement data. Ensure all records are accurate, complete, and confidential.
Manage confirmations, transfers, promotions, and warning letters, ensuring proper documentation and compliance.
Administer payroll processes, including salary computation, statutory deductions, allowances, overtime, and ensuring timely and accurate disbursement. Handle payroll-related employee queries professionally.
Administer company compensation and benefits programs, ensuring accuracy, compliance, and proper record-keeping.
Develop, update, and monitor job descriptions for all positions to maintain clarity and organisational alignment.
Prepare HR reports and analytics for management, including payroll summaries, headcount, leave trends, and other relevant HR metrics.
Assist in handling employee inquiries, grievances, disciplinary matters, and terminations in a timely and professional manner.
Support the implementation of company policies, procedures, and code of conduct.
Promote positive employee engagement through HR initiatives and communication.
Coordinate training sessions and maintain training records, ensuring HRDC compliance.
Conduct training needs analysis (TNA) and support employee learning programs.
Assist with performance appraisals, KPI tracking, and evaluation documentation.
Follow up with managers and employees on appraisal deadlines.
Ensure compliance with Malaysia Labour Laws, Employment Act, SOCSO, EPF, EIS, HRDF, and internal policies.
Assist in HR audits and internal compliance reviews.
Manage company medical benefits and insurance programs, including enrolment, claims coordination, policy renewals, and record-keeping.
Liaise with government authorities regarding EPF, SOCSO, LHDN, HRDC submissions, and other statutory matters.
Coordinate with Immigration Department for foreign worker matters.
Organise employee engagement and welfare activities such as corporate events, team-building sessions, and company celebrations.
Assist in ad-hoc HR projects and initiatives as needed.
Diploma or Degree in Human Resource Management, Business Administration, or related field.
Minimum 3–6 years’ experience in HR generalist or executive roles.
Solid understanding of Malaysian labour laws, statutory requirements, and HR best practices.
Strong administrative, organisational, and planning skills with high attention to detail.
Able to work independently, take initiative, and deliver results.
Good interpersonal, communication, and presentation skills.
Trustworthy, discreet, and able to maintain confidentiality.
Proficient in Microsoft Office and familiar with HRIS systems.
Excellent command of English, Bahasa Malaysia (spoken & written).
Willing to work at Petaling Jaya.
