A private educational institution in Kuala Lumpur is seeking an HR Executive to oversee HR functions including recruitment, payroll processing, and employee record maintenance. The ideal candidate will hold a degree in HR Management and have at least 3 years of experience in HR and administrative roles. Proficiency in English and Bahasa Malaysia is required. The HR Executive will be responsible to ensure that the HR functions of the organisation run effectively and efficiently.
Responsible for the staff recruitment process by posting job ads, pre‑screen applications and schedule jobs interviews.
Prepare appointment and confirmation letters and service agreements.
Responsible for arranging the induction programme for new employees.
Process monthly payroll for employees and other payments to statutory bodies, including preparation of EA forms for employees and e‑Filing LHDNM.
Update and ensure that all employees’ records are maintained in the personal files of employees.
Manage and update employees’ punctuality and leave records and benefits entitlement.
Manage applications and submissions of training grants to HRDC.
Handle the application and renewal of teaching permits and process the applications accordingly ensuring that all relevant documents are submitted for processing.
Maintain and regularly update employees’ records.
Support the Principal in the daily operations pertaining to the school.
Support the management and coordination of school events such as Open Days, Concerts, Sports Day, Graduation etc. and assist in the sale of refreshments during these school events.
Prepare draft/routine correspondences, contracts, and any other document as directed by the Principal.
Answer incoming calls/enquiries.
Provide administrative support to the Accounts Executive.
Assist in Corporate Admin matters (eg BOD, BOD meetings, Company Secretary, review agreements and policies, renewal of business and school licenses, etc)
Handle replies to surveys (eg the Department of Statistics), LHDN audits, etc.
Ensure and maintain confidentiality of the organization’s information, documents, and database.
Perform other duties consistent with the role that may be reasonably required or assigned from time to time by the Principal.
Degree in HR Management or related field.
At least 3 years working experience in HR and Admin functions.
Good knowledge of labour & OSH legislations.
Fluent in English and Bahasa Malaysia (oral & written).
