Job summary

A leading recruitment agency located in Kuala Lumpur is seeking an HR Administrator to support employee onboarding, maintain HR databases, and assist in payroll and compliance. The ideal candidate should hold a diploma in Human Resource or a related field, possess 1-3 years of relevant experience, and be familiar with Malaysian labour laws. Strong interpersonal skills and discretion in handling confidential information are essential for success in this role.

Job description
Job Responsibilities

Prepare offer letters, employment contracts, and onboarding documentation. LHDN stamping required.

Conduct employee onboarding and ensure new hire paperwork is complete.

Employee Records & HR Administration

Maintain and update employee personnel files and HR databases.

Ensure all employee information is accurate and confidential.

Prepare HR letters (confirmation, transfer, warning, etc.) when required.

Payroll & Attendance Support

Collect and verify attendance records, leave applications, and overtime claims.

Support payroll preparation by providing accurate employee data.

Submit Secondment Claims (for salary) to Accounts.

Collate monthly attendance, OT claims, and other payroll‑related data.

Support payroll processing and ensure timely submission of statutory contributions (EPF, SOCSO, EIS, PCB) via Perkeso, KWSP, and LHDN portals.

Assist in issuance of payslips and yearly EA Forms.

Employee Relations & Welfare

Support in organizing staff welfare activities, company events, and training sessions.

Assist in handling staff grievances or disciplinary matters under the guidance of HR Manager.

Support HR in handling employee queries regarding policies and procedures.

Compliance & Policies

Assist in implementing and communicating HR policies and procedures.

Ensure HR practices are in line with Malaysian labour laws, company policies, and statutory requirements.

Prepare and submit yearly Form E Submission and help expatriate/foreigners submit their Form BE online.

ESD Application

Assist manager to apply new/renew permit to stay for Expatriate (EP).

Familiar with CIDB / My future jobs / Eppax –/ ESD portal.

Project Registration/Update

Apply Expatriate – Contractor profile

Requirements
  • Minimum Diploma in Human Resource or Business Administration or a related field
  • 1–3 years of experience in HR or administrative roles
  • Previous experience in construction industry will be advantageous
  • Familiar with Malaysia’s labour laws, EPF, SOCSO, EIS, and LHDN regulations
  • Strong interpersonal skills and ability to handle confidential information with discretion
  • Familiar with membership applications (SPAN)
  • Proficient in Info Tech System & Speedbrick Construction Management Software will be an advantage
