Group Documentation Trainee (Start ASAP)

Join as a Trainee in Group Documentation handling shipping documents, coordination, and compliance in a manufacturing environment.

Your Role

Here’s what you will be doing:

  • Liaise closely with related departments on sales orders.
  • Prepare shipping documents including Invoice, Packing List, Certificate of Origin, and Shipping Instruction (SI).
  • Collaborate with Marketing, Finance, Packing, Warehouse, and Quality Management departments to ensure timely execution of shipping documents.
  • Communicate regularly with shipping and forwarding agents and relevant authorities.
  • Ensure documents are in order to secure payments through banks before deliveries.
  • Update daily working reports and DTF.
  • Prepare weekly and monthly sales review meeting reports, including document delay, packing, and sales reports.
  • Gather information on new facilities and restriction guidelines.
  • Provide guidance on compliance with export laws and regulations for respective countries/destinations.
  • Conduct periodic internal compliance procedure reviews.
  • Identify and record performance of shipping agents.
  • Develop and implement controls to close identified gaps.
  • Take additional responsibilities as instructed by immediate superior.
