Job Summary
The Finance & Admin Executive supports the daily operations of the Finance and Administration department. This role is responsible for maintaining accurate financial records, coordinating administrative and HR functions, and ensuring compliance with company policies to support smooth business operations in a manufacturing environment.
Key Responsibilities
1. Accounting & Finance
- Handle full or partial set of accounts, including Accounts Payable (AP), Accounts Receivable (AR), and General Ledger (GL).
- Prepare monthly financial reports, bank reconciliations, and journal entries.
- Manage supplier invoices, payment processing, staff expense claims, and petty cash.
- Monitor production cost entries, inventory valuation, and fixed asset schedules.
- Assist in budget preparation, cost tracking, and variance analysis.
- Support year-end closing, audit, and tax submission processes.
- Liaise with external auditors, tax agents, and banks as required.
- Finalize the monthly account by bookkeeping, including updating and verification for accounting transactions and ad hoc assignments if needed.
2. Administration
- Oversee office administration, including procurement of office supplies, maintenance of office equipment, and general upkeep.
- Handle company correspondence, filing systems, and document control.
- Maintain records of licenses, insurance renewals, and company certifications.
- Coordinate logistics support for meetings, events, and company activities.
- Assist in implementing and maintaining ISO or other quality management documentation (if applicable).
3. Coordination & Reporting
- Work closely with production and procurement teams to ensure accurate costing and stock control.
- Coordinate with suppliers and customers on billing and payment matters.
- Provide management with timely financial and administrative updates.
- Perform ad hoc duties and projects assigned by management.
- To handle HR & admin-related matters and maintain proper records, including payroll, EPF, SOCSO, PCB, Leave, etc.
Requirements
- Diploma / Degree in Accounting, Finance, Business Administration, or related field.
- Minimum 3 years of relevant experience, preferably in a manufacturing environment.
- Proficient in accounting software (e.g., SQL, AutoCount, UBS, or similar) and Microsoft Office.
- Knowledge of basic HR practices and statutory submissions.
- Good analytical, organizational, and communication skills.
- Able to work independently, meet deadlines, and maintain confidentiality.
