Overview
Executive / Senior Executive, Procurement & Administration
We are looking for a responsible, detail-oriented, and proactive Executive / Senior Executive, Procurement & Administration to provide support across procurement operations, contract administration, and general administrative functions. The role is responsible for ensuring full compliance with internal policies, governance standards, and regulatory requirements relevant to the Malaysian insurance industry.
Responsibilities
- Procurement and Administration
- Support end-to-end procurement activities, including sourcing, quotation evaluation, vendor onboarding, and Purchase Requisition (PR) / Purchase Order (PO) processing.
- Ensure all procurement activities comply with internal procurement policies, Delegation of Authority (DOA), and governance requirements.
- Coordinate closely with Finance on budget availability, cost centres, and GL code allocation.
- Identify, evaluate, and onboard suitable vendors; negotiate commercial terms, pricing, and service levels to achieve best value while maintaining compliance with internal policies and governance standards.
- Collaborate with internal stakeholders to understand business requirements and develop appropriate sourcing strategies and procurement plans.
- Build and maintain strong working relationships with key suppliers, proactively managing performance issues, disputes, or service gaps to ensure continuity of supply.
- Maintain accurate and up-to-date vendor records, contracts, and procurement documentation in an orderly and auditable manner.
- Support periodic vendor performance reviews and manage contract renewals.
- Assist in managing outsourcing arrangements in accordance with regulatory requirements and internal risk management frameworks.
- Continuously review and enhance procurement processes, controls, and procedures to improve efficiency, strengthen governance, and support regulatory compliance.
- Assist in the preparation, coordination, execution, and monitoring of contracts, service agreements, and renewals.
- Liaise with Legal and Compliance on contract reviews, stamping requirements, and master or framework agreements.
- Track contract terms, service periods, and expiry dates, ensuring timely renewal or termination actions.
- Maintain an up-to-date contract register and ensure proper retention of contractual and procurement documentation.
- Oversee day-to-day office operations to ensure continuity, efficiency, and smooth business operations.
- Assist with special projects and ad-hoc tasks as required
Key Competencies & Preferred Qualifications
- Strong problem-solving, critical thinking, and attention to detail.
- Excellent interpersonal, negotiation, and communication skills.
- Diploma or Bachelor’s degree in business administration, Procurement, Supply Chain Management, Finance, or a related discipline.
- Minimum 3 to 5 years of relevant experience in procurement and administration
- Familiarity with ERP or procurement systems commonly used in Malaysia (e.g. SAP, or equivalent)
- Professional certifications such as CIPS, CPSM, or local procurement-related qualifications are preferred but not mandatory.
- Good command of English and Bahasa Malaysia.
- Team player who can work collaboratively while also performing independently when required.
