Our client is seeking an Executive Assistant to join their team!
This is a fantastic opportunity for a highly organized and proactive individual to provide comprehensive administrative and operational support to the Group Managing Director and senior management team. You will be the main point of contact between the GMD and internal/external stakeholders, managing calendars, preparing agendas, and coordinating travel arrangements, among other responsibilities. If you are detail-oriented, professional, and capable of managing multiple priorities while maintaining confidentiality and discretion, this role is for you.
What you'll be doing?
- Provide support: Offer direct administrative and secretarial support to the Group Managing Director and senior leadership team.
- Act as a liaison: Serve as the main point of contact between the GMD and internal/external stakeholders.
- Manage schedules: Efficiently manage the GMD’s calendar, appointments, meetings, and follow-ups.
- Prepare documents: Prepare agendas, record meeting minutes, and track action items.
- Assist in presentations: Help in preparing business reports, presentations, and correspondence.
- Coordinate travel: Coordinate travel arrangements, itineraries, and logistics for the GMD and management.
- Handle confidential information: Manage confidential and sensitive information with professionalism.
- Support initiatives: Support the GMD in strategic initiatives, project tracking, and communication follow-ups.
- Liaise with departments: Liaise with all departments to ensure tasks and decisions are implemented smoothly.
- Conduct research: Conduct research or gather data as required for decision-making.
- Manage communications: Manage phone calls, emails, and correspondence efficiently and confidentially.
Who are they looking for?
- Educational background: Minimum Diploma or Bachelor’s Degree / Diploma in Business Administration, Management, or related field.
- Experience: Minimum 2–4 years of experience as an Executive Assistant, Personal Assistant, or equivalent role supporting senior management.
- Communication skills: Excellent communication and interpersonal skills in English, Bahasa Malaysia and Mandarin is required. Fluent in other Chinese dialect (Hokkien, Cantonese etc) is an added advantage.
- Organizational skills: Highly organized, with strong time management and multitasking skills.
- Technical skills: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Discretion: Discreet, dependable, and able to handle confidential matters.
- Proactiveness: Proactive and resourceful in solving problems and managing priorities.
