Job summary

A reputable company is seeking a Director Executive Assistant to manage executive schedules, prepare correspondence, and coordinate events. Job description
Director Executive Assistant and Personal Assistant

Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.

Prepare official correspondence, memorandum, agenda, minutes of meeting, external letters, including preparation for meeting materials and facilities.

Coordinate events and speaking engagements;

Maintaining high confidentiality in all dealings with sensitive information and correspondence;

Handling urgent matters, quickly managing unforeseen situations, and ensuring the director is informed and prepared to make decisions;

Act as a liaison between internal/external stakeholders. Serving as a point of contact forclients, partners, and other essential contacts;

Building relationships by establishing rapport with key individuals on behalf of the director ;

To ensure that the recording of information is effectively recorded within the company’s filing system

Handling any ad-hoc assignment as and when required by the director.

Requirements:-

Candidate must possess at least a Diploma/Certificate in business administration, finance, or a related field;

At least 3 years of experience as an executive assistant or in a related position;

Fluency in English and Chinese (both written and spoken) is essential as the role requires candidate to interact with Mandarin-speaking customers;

Strong interpersonal skills;

Discretion and trustworthiness;

Active listening and good communication skills;

Proactive approach to problem-solving;

Ability to multitask;

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint);

Strong time-management and organization skills;

Able to travel for business trips when required.
