A leading healthcare provider in Malaysia is seeking a Deputy Manager for Quality Advisory Management to ensure compliance with ISO standards and coordinate quality activities across KPJ hospitals. The role involves maintaining certifications, conducting audits, and reporting quality issues to management. The ideal candidate will have a Bachelor's degree in Nursing or a related field and 5 years of experience in quality service leadership. Maintaining the ISO 9001 & 37001 certification.
Conducting and coordinating activities for compliance with ISO 9001 & 37001 standards.
Monitoring the Quality Improvement Activities (QIA) for KPJ Group of Hospitals and Companies.
Assisting the implementation of any Quality Improvement Activities in KPJHQ i.e., OSHE, Fire safety.
JOB RESPONSIBILITIES:
Group Compliance to Quality Standards & Regulations
Responsibility to assist in directing quality compliance by coordinating activities throughout the hospital in line with KPJ Vision & Mission and hospital policies and procedures.
Coordination of Quality Activities
Directly coordinate quality activities, e.g., IMS, MSHQ, 5S, BFHI, JCI, ICC, etc.
Updating of Group Quality Matters & Issues
Responsible for keeping the Head of Quality Service, Operation Manager, and Chief Executive Officer informed of any quality issues or reportable situations that need administrative involvement.
Establishment & Compliance to ISO and/or Accreditation Standards
Responsible for the establishment, implementation, and compliance of the delivery of the hospitals’ services in accordance with ISO standards or accreditation of hospital/professional practice.
Synchronisation of Hospitals’ Policies and Procedures with Regulatory Requirements
Ensure systematic, structured, up-to-date compliance with statutory and regulatory requirements and hospital policies and procedures.
Monitor, Evaluate & Report on Effectiveness of Group-wide Quality and Safety Enhancement Programmes
Compile, monitor, and evaluate the effectiveness of continuous quality improvement programmes/activities and ensure conformity to set standards/professional ethics and best practice; report to top management, including Lean Management and risk assessment.
Recommend Corrective and Prevention Actions to Improve Quality and Reduce Risk
Provide suggestions/recommendations inclusive of corrective action, preventive action, and innovation for continuous quality improvement.
Dissemination of Quality Improvement Information
Disseminate quality improvement information to all staff of the organization to increase awareness.
Quality & Safety Audits
Conduct independent audits from time to time and report audit findings to GM/CEO if required; prepare audit programmes, schedules, coordinate and monitor to evaluate the adequacy and effectiveness of control in the performance of the quality system.
Networking with External Agencies & Certification Bodies
Liaise, coordinate and network with external agencies such as certification bodies (e.g., Sirim, MSHQ), government agencies (e.g., MPC), potential customers, etc.
Keeping KPJ Group Management Updated
Update and report progress and changes in quality activities in hospital to KPJ HQ.
Regular Management Review Meetings
Coordinate management review meetings and any related quality meetings.
Monitor Non-Compliance & Non-Conformance to Quality Standards
Review, file and retain audit reports on non-conformances and highlight to relevant personnel; assist in formulation of corrective action to be taken.
Recommend, participate, and assist in formulation and conducting awareness and refresher, education, and training for quality related programs for staff.
Quality Awards
Identify suitability of awards and certifications to be involved and present to top management.
Certification / Audits / Surveys
Coordinate certification audit/survey with third-party auditor/surveyor.
Support & Provide Information to Quality-Related Committees / Initiatives
Involve and facilitate committees related to KPJ quality, e.g., ESG activities and integrated annual reports.
Advisory Role for Quality Improvement Activities
Act as advisor for any quality improvement activities for KPJ Group of Hospitals, e.g., CSM recognition by Sirim, KPJ quality workshops.
Recommend / Propose Innovations
Provide suggestions/recommendations for innovations in continuous quality improvement, e.g., Planetree accreditation.
Fulfil Other Tasks & Achieve Targets Stipulated by KPJ Management
Perform other related duties as may be assigned or delegated by Chief Risk Officer (CRO) or management.
JOB REQUIREMENTS:
Bachelor’s Degree in Nursing, Healthcare Administration, Allied Health, Medical Technology, or related fields.
Lean Management Certificate or Six Sigma.
5 years’ experience in heading quality control/service.
