Job Summary

The Event Administrative Staff supports the day-to-day operations of the company by performing a variety of administrative, communication, and coordination tasks in event management environment. This role is crucial in ensuring smooth internal operations and high-quality service to the clients.

Key Responsibilities
  • Administrative Support:
    • Maintain organized records and filing systems (digital).
    • Assist in scheduling meetings, preparing agendas, and taking minutes.
    • Handle correspondence via email, phone, and WhatsApp.
  • Membership Services:
    • Manage membership databases, process new memberships, renewals, and cancellations.
    • Respond to member inquiries and provide excellent customer service.
    • Prepare and distribute membership communication, including newsletters and updates.
  • Event Coordination:
    • Assist in planning, organizing, and executing association events (e.g., conferences, seminars, webinars).
    • Handle event logistics such as registrations, venues, materials, and follow-ups.
  • Finance & Reporting:
    • Support basic bookkeeping tasks (invoicing, expense tracking, payment processing).
    • Assist in preparing financial and activity reports for the board and members.
  • Communication & Outreach:
    • Coordinate with vendors, sponsors, and other stakeholders as needed.
