Job description
General Services Office Management

To undertake a variety of day‑to‑day office and clerical tasks.

To ensure that Forvis Mazars Indonesia office operations run smoothly and are successful in supporting other business activities.

To ensure the procurement process and delivery run smoothly and efficiently.

The General Services reports to the Office Manager.

Ensure all office equipment and utilities work well on a daily basis.

Inspect facilities periodically to determine problems and necessary maintenance.

Responsible for stationery requests, monitoring usage, and maintaining the stationery book.

Business Activity Report

Submit reports to Kemenkeu, OJK, OSS, and the company’s membership annual registration and renewal (IAPI, IKAPI, etc.).

Procurement

Monitor stock levels and identify purchasing needs, research potential vendors, track orders and ensure timely delivery, verify that all products arrive in good condition, and update internal databases with order details (dates, vendors, quantities, discounts).

Travel Arrangement

Arrange travel for all employees’ business trips, including flight and hotel booking.

Liaise with Vendors and Third Parties

Coordinate with building management, travel agents, formalities agencies, and company car services.

Office Administrative

Handle office reporting, stock opname, and reporting; assist the Office Manager with office inspections and company events.

Assist employees with administrative matters.

Team Supervision

Supervise Receptionists, Office Boys, Office Helpers, Couriers, and Drivers.

Requirements
  • Minimum diploma degree from any major.
  • Minimum 1 year of experience in general services or administration.
  • Excellent proficiency with MS Office.
  • Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with vendors) and strong negotiation skills.
  • Organized and able to prioritize and multi‑task.
  • Reliable, patient, and professional.
  • Excellent communication skills in English are mandatory.
