A leading global real estate firm is seeking a Facilities Management professional to oversee day-to-day operations and vendor management in Jakarta, Indonesia. The ideal candidate will have over 3 years of experience in facilities management, strong organizational skills, and a proactive approach to solving issues. Responsibilities include monitoring building systems and coordinating maintenance activities. This position offers a dynamic work environment with opportunities for growth.

Assist FM in day-to-day operations of workplace facilities services
Supervision of 3rd Party vendors
Conduct regular facility inspections (meeting rooms, offices, etc) and arrange for follow up with the respective contractors Staff is expected to conduct weekly site walkthroughs.
Prepare and keep an undated listing of WPCs and user groups
24/7 emergency call support and site attendance is required
Coordinate preventative maintenance programs with vendors and in-house teams
Coordinate Helpdesk operations, administrative support, reception, and visitor management
Oversee meeting room scheduling and event coordination
Administer office supplies inventory and procurement
Oversee the purchase order and invoice payment activity
Maintain and update business continuity procedures
Incident management and recovery
Assist in the implementation a comprehensive energy management program for your site(s)
Monitor the latest statutory requirements, and ensure that the Client premises meet with the regulations.
Conduct instructional briefings on inspection of premises to appointed contractor
Monitor building systems including HVAC, plumbing, electrical, and fire safety
Process and track work orders for facility repairs and maintenance
Assist in managing contractor relationships for specialty maintenance services
Support facility compliance with regulatory requirements and safety standards
Help coordinate facility improvement projects and renovations
Maintain accurate records of maintenance activities and equipment warranties
3+ years of experience in facilities management or business support services
Working knowledge of building systems and maintenance procedures
Experience with vendor/contractor management
Proficiency with facility management software and MS Office suite
Strong organizational and multitasking abilities
Excellent communication and customer service skills
Problem-solving mindset with attention to detail
Technical certification in facilities management (IFMA, FMP) preferred
Adaptability to changing priorities and emergency situations
Team collaboration while working independently
Strong interpersonal skills to interact effectively with all levels of staff
Proactive approach to identifying and resolving potential issues
