Main Purpose of Job Role
Oversee the day-to-day management of the rota to ensure the delivery of high-quality care and support to clients.
Ability to divide time between office and field tasks.
Act as a vital link between clients, care staff, and healthcare professionals to maintain seamless communication and service coordination.
Drive business growth by onboarding new client packages and improving the client experience through continuous staff training and development, ensuring the delivery of dependable, well-managed, and compassionate care that enhances clients' lives.
Key Tasks and Responsibilities
- Assign care workers to client visits, considering capacity, skills, and location.
- Manage rota adjustments in response to care worker holiday and absence requests and client requirements.
- Update care worker availability in line with company policies.
- Address queries from care assistants, clients, and healthcare professionals via phone and email, ensuring all relevant systems (e.g., Pass and Atlas) are updated.
- Enhance and maintain continuity of care for both new and ongoing packages.
- Coordinate medication records and manage daily alerts.
- Provide support for the training and development of the care team to promote growth and enhance the client experience.
- Manage the on-call process, including covering care calls when required.
- Review and update systems based on daily on-call reports.
- Lead daily on-call meetings, take minutes, update systems (e.g., Atlas and Pass), and share reports with the management team.
- Actively participate in weekly office and care team meetings.
- Perform general office administration tasks.
- Ensure adherence to CQC regulations, company policies and applicable law and legislation.

Essential:
- Excellent verbal and written communication skills, with a professional telephone manner.
- Strong active listening skills with the ability to demonstrate understanding and empathy.
- Strong planning and organisational skills, with the ability to manage competing priorities.
- Self-motivated, proactive, and capable of managing time effectively.
- Resilient and adaptable, able to perform well under pressure and embrace change.
- Proficiency in Microsoft Office (Word, Excel etc) and Gmail (training will be provided for internal systems).
Desirable:
- Relevant experience as a Care Coordinator or within domiciliary care.
- A Level 3 (or higher) Diploma in Health and Social Care, or an equivalent qualification.
- Experience in conducting care assessments and reviews.
- Experience in a training role.
- Proficiency with care management systems such as Pass and Atlas.
