Position Title: Office Manager
Position Type: Full-Time, On-site at Mains of Tertowie, Kinellar
Wage: £30,000 – £35,000 per annum, depending on experience
Position Overview:
We are looking for a proactive and multi-talented Office Manager to oversee and coordinate the essential administrative functions that keep our business running smoothly. This role spans a broad set of responsibilities - office administration, bookkeeping, compliance, HSE, procurement, quality assurance, stakeholder relations, and basic marketing. This is more than a traditional admin role, we are looking for someone ready to own this position, contribute ideas, and play an active role in shaping the way the company runs. You will be encouraged to bring strategic insight to the table, continuously improve our processes, and grow with the business.
Key Responsibilities:
Office Administration & Operations
- Ensure day-to-day office operations run smoothly and efficiently.
- Develop, document, and improve administrative workflows to support productivity and clarity across the team.
Bookkeeping & Financial Administration
- Manage bookkeeping including invoice processing, bank reconciliation, expense tracking, and reporting support.
- Coordinate with external accountants to ensure accurate records for compliance and tax reporting.
- Generate customer invoices and monitor accounts receivable.
Procurement & Purchase Orders
- Manage procurement processes, including vendor selection, purchase orders, and delivery tracking.
- Maintain organized records of supplier agreements and transactions.
HSE & Quality Assurance
- Maintain and promote compliance with health, safety, and environmental standards.
- Keep records of incidents and safety documentation up to date.
- Support quality control efforts by maintaining procedures, coordinating internal checks, and assisting with audits when needed.
Human Resources Administration
- Coordinate recruitment, onboarding, training schedules, and employee records.
- Maintain up-to-date HR policies and manage staff documentation.
ERP & Systems Support
- Support ERP data input, basic system usage, and serve as a point of contact during implementation and ongoing usage.
Compliance & Legal Administration
- Ensure the business meets all legal, insurance, and compliance requirements.
- Maintain company records, registrations, and licensing documentation.
Stakeholder Management
- Act as a professional point of contact for vendors, service providers, and clients.
- Foster strong relationships with internal and external stakeholders to support business continuity.
Basic Marketing & Brand Support
- Assist in the coordination of basic marketing tasks, such as updating the website, managing company social media accounts, or supporting digital outreach efforts.
- Support preparation of presentations, materials, or documents that reflect the company’s brand and messaging.
Executive & Strategic Support
- Provide day-to-day executive support to the CEO (e.g., travel coordination, presentation preparation, meeting planning).
- Participate in strategic planning sessions and bring operational insight into company decision-making.
- Identify opportunities to improve business practices and take initiative in implementing positive change.
What We're Looking For:
- Broad experience in office management, business administration, and operational support.
- Solid knowledge of bookkeeping principles (full accounting not required).
- Familiarity with HSE standards and quality assurance practices.
- Excellent interpersonal and communication skills.
- Ability to manage multiple responsibilities independently and with discretion.
- Strong organizational and problem-solving skills.
- Proficiency in Microsoft Office and any kind of ERP system.
- A flexible, self-driven mindset with the confidence to take ownership and lead initiatives.
