Job description
Main Job Purpose
  • To act as a central supporting role for staff.
  • Ensure an effective and responsive administration service is provided to all staff, partners and visitors.
  • Upholding the vision and ethos of the school at all times, providing an excellent customer service on reception.
  • Under the direction of the Office Manager, to assist with the work of the Reprographics Department to provide an efficient service to all faculties and departments within school in a timely manner.
  • To support effective communication throughout the school and its community by provision of effective documentation and meticulous record keeping, filing and archiving. To provide a reprographics service of excellent quality and to manage deadlines, for all colleagues at The Lowry Academy.
Administration - Key Tasks
  • Reception duties - welcoming visitors to the school, ensuring they are signed in appropriately and safeguarding procedures are followed.
  • Ensure that all calls to the school are correctly routed to their intended recipients, or an appropriate member of staff, to ensure a quick and effective communication system.
  • To liaise with relevant staff regarding both internal and external communication across the school.
  • Promote a professional office environment and positive relations with staff, students, families and visitors.
  • To contribute towards efficient and effective office management systems and procedures, for example filing, answering phones, organising electronic and other mail and correspondence.
  • To ensure that all student information is correctly held and updated on Arbor.
  • To effectively manage physical resources, such as stationery, office accommodation and meeting rooms to maintain professional standards.
  • To ensure that all enquiries and correspondence are dealt with promptly and effectively, in a manner that promotes a positive image of the school, using the school's Ask Lowry procedure to assign and follow up appropriately.
  • Carry out administrative duties in order to facilitate the smooth running of the school.
  • To undertake training and development relevant to the post and in line with the School's developing profile.
  • Ensure that internal and external perceptions of the school are managed and protected within favourable boundaries, maintaining confidentiality wherever appropriate.
  • To establish and maintain effective systems and processes to support the smooth running of the school in partnership with the Admin Team.
  • To provide a general clerical and administrative service to colleagues e.g. photocopying, filing, emailing, completion of standard forms, respond to routine correspondence, letters to parents, processing orders etc.
  • To cover and assist in Reprographics when required.
  • To take ownership for various projects to meet the needs of the school in order to achieve project goals.
  • To attend and participate in meetings as required.
  • To undertake cover duties related to reprographics as required.
  • To undertake training in order to cover for or support colleagues as directed by the Office Manager.
  • To assist and organise the school admin diary and book meeting rooms as required by staff / external professionals.
  • To update entries on CPOMS
  • The use of the Inventory system for visitors and students
  • To assist with IT tasks/ use of internet
  • To carry out related checks for Safeguarding
  • To manage transport bookings, as required
  • To assist with the whole school communications (texts, letters, in-app messages and notifications).
  • To take ownership of the post, external/ internal
  • Support events such as parents' evenings and other school functions.
  • To follow GDPR guideline, operations and retention
  • To assist with rewards administration, including creating mail merges for celebration certificates and ensuring accurate production and distribution.
  • Assist with administration for school trips, including compiling student lists with emergency contact and medical information, and adding trips to Arbor.
  • Creating reports through Arbor for various purposes, including homework detentions, trip details, consent information, and any other requirements.
  • Check Free School Meal entitlement and ensure families receive vouchers during holiday periods.
  • Assist with administration for EVC trips
First Aid
  • Act as a qualified First Aider and provide first aid support to students and staff
  • Co-ordinate first aid cover across the school
  • To liaise with NHS professionals, including nurses and immunisations
  • To assist with administration for EVC trips
General
  • The post holder is responsible for the health, safety and welfare of him/herself in accordance with the schools policy and the Health and Safety at Work Act 1974.
  • To work openly within the framework of best practice identified in the School Safeguarding Policy.
  • To report any concerns regarding student safety or staff working practices to the designated CP officer(s).
  • To undertake other tasks commensurate with the role as directed
  • To keep up to date with local and national CP training and training requirements.
