The Opportunity
We are seeking a dynamic Executive Assistant / Team Coordinator to provide dedicated administrative support to our Global Chief Risk Officer. You will play a vital part in streamlining communication, coordinating meetings, and managing reporting processes for the executive team. Your responsibilities will include overseeing the seamless operation of day-to-day tasks, collaborating closely with senior managers and team members to ensure efficient workflows and prioritization of activities. You will also maintain organizational databases, support team coordination, manage schedules, and ensure all administrative functions run smoothly across the team.
What You'll Do
- Provide high-quality, confidential administrative support to the Global Chief Risk Officer and the Risk and Audit team, including managing calendars, scheduling appointments, and organizing meetings and travel arrangements.
- Serve as the primary point of contact for internal and external stakeholders, ensuring clear communication and effective meeting coordination.
- Prepare agendas, compile briefing materials, take meeting notes, and track follow-up actions. Draft, proofread, and refine correspondence, reports, presentations, and other documents.
- Proactively prioritize and manage tasks to support the smooth operation of the Risk and Audit team, ensuring deadlines are met and priorities are adjusted as needed.
- Organize and coordinate meetings, workshops, events, conferences, and team-building activities, ensuring all logistics are handled efficiently.
- Build and maintain strong relationships with senior executives, internal teams, and external partners to facilitate effective communication.
- Assist in research, data collection, report collation, and project management tasks to support key initiatives across the Risk and Audit team.
- Handle sensitive and confidential information with the highest level of professionalism, integrity, and discretion.
What You'll Need
- A minimum of 5 years of experience providing executive support to senior management or C-suite executives.
- Strong organizational skills with the ability to manage competing priorities and tight deadlines.
- Exceptional communication skills, both written and verbal, with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with advanced expertise in managing calendars, travel coordination, and document creation.
- Proven ability to work independently and take initiative to resolve issues and manage tasks effectively.
- Problem-solving skills: proactive and resourceful, capable of anticipating needs and resolving issues independently or collaboratively.
- Confidentiality and discretion in handling sensitive information, maintaining high professionalism.
Adaptable and proactive, able to manage and adjust priorities as necessary to meet business needs.
