A financial services regulator in Toronto is seeking an experienced Administrative Assistant for a 12-month fixed term opportunity. Responsibilities include providing administrative support, coordinating meetings, processing expense claims, and maintaining records. Accountable for providing administrative and coordination support to a wide range of administrative activities including but not limited to developing, implementing, and maintaining office administration procedures, systems and practices to support business delivery.
Plans, organizes, and schedules meetings and coordinates travel/accommodation arrangements; maintains appointment calendars for the management team; coordinates meeting logistics for internal/external meetings; prepares agendas, compiles, and distributes material for meetings.
Processes expense claims in accordance with established financial guidelines.
Drafts and/or edits correspondence, presentations, and a variety of reports, statistical spreadsheets, and issue sheets on own initiative or according to general instructions and utilizing a range of software applications; updates manuals, databases, and mailing lists.
Develops, implements, and maintains administrative procedures, systems, and practices to ensure an effective workflow is maintained and to support the overall efficient functioning of program activities and projects.
Coordinates the issues management process for the program area to ensure high quality and timely responses to requests and inquiries; establishes and maintains tracking systems to monitor the status of responses; reviews, edits, and finalizes related briefing materials and correspondence.
Coordinates communication between the program area and primary contacts across FSRA, National Regulatory Coordination Branch (NRC), national associations and external contacts.
Maintains files and records (electronic and hard copy) in an organized, consistent, and confidential manner, using FSRA’s and NRC’s procedures for protecting and maintaining the privacy of records, and following relevant document retention schedules.
Maintains databases and bring forward systems for processing of mail and materials submitted to the program area; monitors systems to ensure deadlines are met and retaining items for own attention and action.
Graduation from a college or university; or equivalent education and experience.
A minimum of 4 years of experience as an administrative assistant.
Knowledge of administrative principles, methods, systems, and office procedures to provide and coordinate administrative support services.
Knowledge and experience establishing and maintaining administrative processes and systems and coordinating/tracking approval processes.
Verbal and written communication skills to respond to inquiries and exchange information with internal and external contacts; to draft/edit correspondence, presentations, spreadsheets, and a range of other documents.
Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Teams) and other internal applications, as required, to manage calendars, maintain databases and tracking systems, and access information.
Organizational and time‑management skills to determine priorities when performing a variety of administrative tasks with conflicting deadlines.
Proof reading and editing skills.
Analytical and problem‑solving skills to recommend viable and effective administrative solutions and compile, summarize, and coordinate information.
Records management skills, including ability to apply records retention and disposition schedules and classify records.
