Job description

Job Title: Lease Capturing Clerk

Location: Johannesburg Sunninghill

The Lease Capturing Clerk is responsible for capturing, verifying, and maintaining accurate lease information within the lease management system. The role ensures all lease documentation is compliant, complete, and aligned with company policies, supporting accurate billing, reporting, and lease administration processes.

Key Responsibilities
Lease Administration & Capturing
  • Capture and verify manual and digital lease agreements, ensuring all signatures, annexures, and business terms are complete and valid.
  • Abstract key lease information, including lease dates, rental schedules, escalation clauses, options, and obligations.
  • Verify tenant information and ensure contractual compliance with internal policies and relevant legislation.
Lease & System Administration
  • Accurately capture and validate lease data in the lease management system.
  • Perform quality control checks and regular audits to ensure data integrity.
  • Monitor and administer lease terms, including insurance requirements, renewals, terminations, escalations, and critical dates.
Billing & Reconciliations
  • Generate first-time and recurring invoices and reconcile tenant payments.
  • Investigate and resolve billing discrepancies, overpayments, and underpayments.
  • Process refunds, adjustments, and system corrections where required.
  • Maintain accurate tenant balances and support payment queries.
Renewals & Amendments
  • Monitor lease expiry dates and renewal periods.
  • Update system records for lease renewals, transfers, extensions, or terminations in line with company policy.
Qualifications and Experience
  • NQF 4/5 in Administration
  • 2 years lease administration experience is preferred
