Role Description

We are seeking a highly organised and proactive Executive Assistant to provide high-level administrative and executive support to the director and leadership team. This hybrid role, based in Stellenbosch, combines in-office collaboration with remote flexibility.

The Executive Assistant will play a key role in the smooth operation of the practice by managing schedules, coordinating meetings, handling correspondence, and supporting financial and operational administration. This position is ideal for someone who enjoys working closely with decision-makers and taking ownership in a fast-paced, design-led environment.

Key Responsibilities
  • Manage executive calendars, schedule meetings, and coordinate internal and external engagements
  • Prepare and manage expense reports, invoices, and basic financial administration
  • Monitor and manage email correspondence, prioritising and flagging urgent matters
  • Prepare documents, reports, and presentations as required
  • Maintain organised digital and physical filing systems
  • Support executives with day-to-day organisational and operational tasks
  • Provide general and ad hoc administrative support to the practice
Qualifications & Experience
  • Proven experience in Executive Administrative Assistance or high-level Executive Support
  • Strong organisational skills with the ability to prioritise tasks and manage deadlines
  • Excellent written and verbal communication skills
  • Proficiency in office software and scheduling/documentation platforms
  • High level of attention to detail, discretion, and confidentiality
  • Ability to work independently and collaboratively in a hybrid environment
  • Prior experience in an architecture or design practice is advantageous
