Job Overview:
The Operations Manager is responsible for overseeing the day-to-day running of all outlet operations, ensuring high levels of performance, productivity, service quality, and team efficiency.
You will play a pivotal role in coordinating internal processes, maintaining standards, and supporting both strategic and operational initiatives across the aesthetics group.
Key Responsibilities:
Outlet Operations & SOP Compliance
Work with management and outlet managers to develop and refine SOPs that ensure consistent service and uniform performance.
Facilitate the implementation of strategies and operational directions from senior leadership across all locations.
Conduct regular outlet visits to ensure:
Cleanliness and hygiene standards are maintained
Staff adhere to grooming protocols and conduct expectations
Equipment and machines are functioning optimally
Communicate and implement corrective actions where gaps are found.
Ensure all customer documentation and consent forms are completed before treatment.
Project manage new outlet launches, including:
Coordinating with landlords, contractors, designers, and suppliers
Overseeing timelines, defect rectifications, and setup logistics
Ensuring all equipment, retail fixtures, and back-end systems are ready before go-live
Set up internal infrastructure: POS systems, supplies, staff onboarding, and process alignment.
Organize, support, and execute corporate events and operational campaigns when required.
Handle and resolve all customer complaints, providing professional, timely service recovery.
Guide outlet teams on escalation protocols and corrective procedures.
Review and monitor:
Google Reviews (monthly summary report to be submitted)
Feedback forms and service quality concerns
Ensure high service standards, minimal wait times, and efficient appointment handling.
Review and verify:
Sales invoices and receipts
Service and sales commission sheets (20th of the month)
Unredeemed packages report (1st of the month)
Coordinate:
OT & Time Off report submission to Accounts & HR (15th)
Sharing of BNA Reports, Google Reviews, and Feedback Summaries with all outlets
Approve:
Outlet claims (by 23rd)
Leave requests via Infotech (by 25th)
Extra Off requests via Infotech (by 18th)
Manage professional and retail stock inventory across all outlets.
Lead monthly stock checks, packing of supplies, and restocking coordination.
Ensure accuracy in stock documentation, including:
Supplier tax invoices
Product receipts
Sales-related invoice tracking
Monitor and renew essential items such as fire extinguishers and card terminals.
Handle vendor negotiations and procurement tasks as required.
Oversee staff onboarding and orientation, ensuring proper alignment with operational needs.
Monitor manpower allocation and movement across outlets for optimal coverage.
Resolve staff disputes and morale issues while maintaining a positive team culture.
Assist with HR system tasks on Infotech:
OT & Time Off record sharing (monthly)
Approvals for leave, claims, and Extra Off requests
Ensure staff compliance to SOPs, grooming, and attendance policies.
Conduct facility checks across all outlets.
Ensure all equipment and devices are maintained, and coordinate repairs or replacements (e.g., light bulbs, device pairing).
Review WESS system records for appointment checkouts and proper documentation.
Assist outlets and staff with any operational support or troubleshooting required.
Handle internal correspondence and coordination between outlets and HQ.
Submit regular logistics and sales reports with operational insights to management.
Support all other ad hoc tasks as assigned to ensure the smooth and professional operation of the business.
Work Hours:
Monday - Friday: 10 AM - 8:30 PM
Full-time, permanent position with flexibility required based on operational needs.
Minimum 1–3 years of operations management experience, preferably in aesthetics, beauty, healthcare, or retail industries.
Excellent leadership, organization, and communication skills.
Strong problem-solving and decision-making ability under pressure.
Proficient in HR and POS systems (e.g., Infotech, WESS), Google Workspace, and Microsoft Office.
Proven ability to manage teams, coordinate multi-location operations, and maintain service standards.
