Overview
Assist the Logistics Manager in planning, coordinating, and monitoring daily transport operations to ensure efficient and timely delivery of goods to customers, while minimizing cost and maintaining safety and compliance standards.
Responsibilities
- Assist in daily planning and scheduling of trucks for delivery and collection.
- Coordinate with warehouse and sales teams to ensure delivery commitments are met.
- Monitor trip schedules, routes, and turnaround times to optimize transport efficiency.
- Support in preparing delivery plans during peak and urgent periods.
- Track vehicle movement using GPS or fleet management system.
- Monitor lorry availability, downtime, and maintenance schedules.
- Assist in arranging replacement vehicles in case of breakdowns.
- Maintain transport-related records (trip sheets, diesel usage, service logs).
- Support in assigning drivers and monitoring attendance, overtime, and performance.
- Ensure drivers comply with company safety rules, SLD (Speed Limiter Device), and JPJ regulations.
- Assist in driver training and disciplinary follow-up when required.
- Record daily fuel usage, toll, and overtime costs.
- Highlight unusual variances and assist the Logistics Manager in cost control analysis.
- Participate in initiatives to improve route efficiency and reduce empty trips.
- Ensure all transport-related documents (delivery orders, permits, insurance, road tax) are valid and properly filed.
- Support JPJ and DOSH compliance inspections when needed.
- Verify and file trip logs and proof-of-delivery documents.
- Prepare daily/weekly transport reports for the Logistics Manager (delivery performance, trip utilization, cost summary).
- Assist in analyzing KPI data such as On-Time Delivery (OTD), Truck Utilization, and Fuel Cost per Trip.
- Ensure compliance with local transport laws (permits, axle weight limits, road taxes).
- Implement safety protocols for heavy steel transport (load securing, driver training).
- Handle accident/breakdown incidents and insurance claims (cargo damage, vehicle repairs).
- Liaise with sales, production, and procurement departments to align logistics planning with business needs.
- Resolve customer complaints related to late deliveries, damages, shortages, product quality defects, etc.
- Provide delivery ETAs and updates to stakeholders.
