Job description

Administrative Executive is responsible to perform a variety of administrative, secretarial and clerical activities to assist and coordinate a specific area of administration and management. An Administrative Executive manages and coordinates overall administration by providing support to the Managing Director and the Management in a variety of complex administration, secretarial and clerical activities of various administration-related matters.

Summary of the Position

• To administer and coordinate the various activities undertaken by the Managing Director and Management.
• To assist and support the Human Resource department on the various non-private and confidential activities.
• To assist and support the Supply Chain department on the various supply chain activities.

Key Accountabilities

• Receiving and routing telephone calls, responding to general questions and providing information and other assistance such as hotel booking, transport arrangements.
• To carry out daily administration of the department including filing, sorting, typing, photocopying, receive and record all incoming calls, mails, e-mails.
• As a Site Training Coordinator to facilitate and follow-up with all Line Managers on the implementation of training procedures.
• Keep and submit report of staff daily attendance and Medical Claim report to Human Resource department.
• Compile and coordinate documents and reports from Head of Department and other staff.
• Maintain and manage management standard operating procedures and standard forms. Sort and file material alphabetically, numerically and chronologically; search files for specified information; create and maintain files and file systems.

Qualifications

Minimum SPM qualification with minimum 2 years working experience in administration.
