Job summary

A property management company in Malaysia is seeking a Sales Administration Executive to manage sales administration tasks. The role involves coordinating the sales process, preparing handover documents, and ensuring timely release of necessary documentation. Candidates should possess a Diploma or Degree in a related field, have 2-3 years of experience in property development, and be proficient in both English and Bahasa Malaysia. This position requires strong analytical, communication, and problem-solving skills.

Qualifications

  • Candidate must possess at least a Diploma / Degree in a relevant field.
  • At least 2 – 3 years of working experience in property development.
  • Familiarity with the IFCA accounting system.
  • Proficient in both written & spoken English and Bahasa Malaysia.
  • Able to work independently with minimal supervision.

Responsibilities

  • Work closely with the Head of Department on sales administration.
  • Handle sales administration correspondence and check document accuracy.
  • Prepare handover documents for Vacant Possession.
  • Compile supporting documents for transfer applications.
  • Liaison with authorities and stakeholders for documentation.
  • Ensure timely release of Memorandum of Transfer and Strata Title.
  • Assist in generating progress billing and collection of payments.
  • Perform additional duties assigned by management.

Job description
Responsibilities
  • Work closely with the Head of Department on progress and activities of sales administration.
  • Handle sales administration correspondence and check accuracy of the documentations on Sale and Purchase Agreement, Loan Documentation, issuance of billing, perfection of transfer and other relevant documents related to the sales.
  • Prepare handling over of Vacant Possession documents and coordinating a smooth process with Project / Property team for timely handover of Vacant Possession to purchasers.
  • To compile supporting documents for consent to transfer / charge application.
  • Liaison with relevant authorities, purchasers, solicitors, financiers for process, documentation and correspondences.
  • Ensure Memorandum of Transfer and Strata Title to be released in a timely and accurate manner.
  • Assist in generate progress billing, issuance of reminder and collection of payment
  • Any other duties that may be assigned from time to time by the management.
Requirements
  • Candidate must possess at least a Diploma / Degree holder in Property Development / Real Estate Management / Business Administration or equivalent.
  • At least 2 – 3 years of working experience in property development industry.
  • Familiarization towards IFCA accounting system.
  • Proficient in written & spoken English and Bahasa Malaysia.
  • High level of attention to detail.
  • Good in communication and negotiation skill.
  • Strong analytical and problem-solving skills.
  • Required skill(s): Microsoft Office (MS Word, MS Excel and MS PowerPoint)
  • Able to work independently with minimal supervision.
