A trading company in Kuala Lumpur is seeking a reliable Operations Admin Executive. This role involves supporting daily business operations, handling customer inquiries, and coordinating inventory logistics. Candidates should have administrative experience, strong attention to detail, and be proficient with Microsoft Excel and Google Sheets. We’re looking for a reliable, detail-oriented and proactive Operations Admin Executive to support our daily business operations across both Baby Diapers and FMCG product lines. You will play a key role in ensuring smooth day-to-day operations, coordinating stock movement, managing documentation, and handling customer enquiries across multiple online platforms. Handle daily administrative tasks including recording daily sales, managing purchase orders, preparing invoices, DOs, POs, and agreements.
Ensure all client and agreement details are accurate, complete, and correctly recorded.
Maintain proper filing, documentation, and recordkeeping for all business operations.
Support sourcing needs such as comparing logistics providers, gathering quotations, lead times and relevant documents.
Checking informations needed for company such as event venue, application requirement , all the tasks that needed for daily operation/ marketing/ other department use.
Provide ad-hoc operational support and run business-related errands as required.
Coordinate stock movement with related companies, clients, and fulfilment centres.
Track inventory levels, manage restocking, and arrange deliveries via Lalamove or other logistics partners.
Visit the main warehouse when required (driving licence essential).
Responsible checking on low stock and restock for fulfillment centre.
Ensure fulfilment centre dispatches orders on time and resolve any issues such as wrong sizes dispatched or mixed orders.
Handle customer enquiries, after-sales service, complaints, and requests via WhatsApp or online channels.
Assist customers/clients and coordinate with internal teams to ensure their needs are met.
Send promotional blasts to customers and clients when required.
Minimum 1–2 years’ experience in administration or operations.
Requires strong independence, self-direction, and problemsolving skills
Proficient in Microsoft Excel, Word, Google Sheets; willing to learn AutoCount.
Strong attention to detail and accuracy.
Able to multitask, work independently and manage time effectively.
Friendly communication style with a strong customer-service mindset.
Must hold a valid driving licence - need to go warehouse coordinate the stock arrangement.
