A leading automotive company in Kuala Lumpur is seeking a Head of Human Resources and Administration to manage comprehensive HR and administrative functions. The ideal candidate will have a degree in Human Resources or Business Administration, with at least 10 years of HR experience, including 5 years in management. Responsibilities include overseeing employee relations, recruitment, payroll management, and compliance with labor laws. To manage the full spectrum of human resources and administrative functions within the organization. Responsible for driving HR strategy, ensuring efficient operations, overseeing employee relations, payroll, budgeting, and administration, and ensuring compliance with policies.

Collaborate closely with senior leadership to build a strong organizational culture and enhance operational efficiency across HR and administrative functions.
Employee Relations: Act as a key point of contact for employee relations matters, ensuring a positive, inclusive, and legally compliant work environment.
Recruitment & Staffing: Lead the recruitment process, including job postings, interviews, candidate selection, and the onboarding process for new hires.
Performance Management: Oversee performance management processes, including goal setting, appraisals, and coaching, to ensure alignment with company objectives.
Training & Development: Design and implement employee development programs to support career growth, leadership development, and skill enhancement.
Compensation & Benefits: Manage the administration of compensation, benefits, and incentive programs, ensuring alignment with market standards and company objectives.
Compliance & Policy: Ensure adherence to labor laws and internal policies. Review and update HR documentation and procedures regularly to remain compliant with regulatory changes.
Office Management: Oversee the daily operations of the office, including office supplies, facility management, equipment maintenance, and ensuring a productive and safe work environment.
Administrative Support: Provide executive support for senior management, including calendar management, meeting coordination, and handling confidential information.
Health & Safety: Monitor and enforce workplace safety and health regulations to ensure employee well-being.
Vendor & Facility Management: Manage relationships with vendors, suppliers, and contractors to ensure that services (e.g., cleaning, office maintenance, etc.) are delivered in a timely and cost‑effective manner.
Payroll Administration: Oversee the payroll process, ensuring accurate and timely payment of employees, including tax withholdings, benefits deductions, and compliance with labor laws.
Headcount Budgeting: Collaborate with leadership and finance teams to forecast and manage headcount and staffing budgets, ensuring alignment with organizational goals and budget constraints.
Cost Management: Work with finance to manage HR‑related costs, ensuring the optimization of employee resources and minimizing unnecessary expenditures.
Monthly HR Report to HQ in Shanghai: Prepare and submit detailed monthly HR reports for headquarters in Shanghai, covering key HR metrics, recruitment updates, employee turnover, compliance issues, and overall HR performance.
HR Analytics & Metrics: Track and analyze HR data (e.g., headcount, turnover rates, performance reviews) to provide insights and recommendations to senior leadership.
Fleet Management: Oversee the management of company vehicles, ensuring they are maintained, insured, and compliant with legal regulations.
Vehicle Assignment: Coordinate vehicle allocation to employees, including managing vehicle requests, scheduling, and usage policies.
Cost Management: Control costs related to vehicle operations, including fuel, maintenance, and leasing, while ensuring compliance with company policies.
Lead special HR projects as assigned by senior leadership.
Foster a positive company culture through employee engagement activities, wellness programs, and team‑building initiatives.
Manage exit interviews and track key exit data to identify trends and areas for improvement.
Ensure seamless integration of new HR initiatives with business goals and objectives.
Education: Degree in Human Resources, Business Administration, or a related field.
Experience: A minimum of 10 years of experience in human resources, with at least 5 years in a managerial capacity. Experience in both HR and administrative management, including payroll, headcount budgeting, and reporting, is essential.
Strong knowledge of HR practices, labor laws, and employment regulations.
Experience managing payroll, benefits, and budgeting processes.
Proficiency in HR software (HRIS, payroll systems, reporting tools) and Microsoft Office Suite.
Excellent communication, interpersonal, and problem‑solving skills.
Ability to manage multiple tasks, meet deadlines, and maintain attention to detail.
Strong leadership capabilities with the ability to influence and collaborate effectively at all levels of the organization.
